Developing and implementing document control procedures for the company.
Managing the creation, revision, distribution, and archiving of documents.
Ensuring documents are accurately labelled, indexed, and stored for easy retrieval.
Monitoring document lifecycle and implementing version control processes.
Maintaining document databases and ensuring data integrity and security.
Assisting in the preparation and submission of documents for regulatory approvals.
Maintaining both electronic and hard copy project documentation, ensuring accurate filing and retrieval.
Organizing the secure archiving of project documents, ensuring long-term accessibility.
Indexing, storing and retrieving a wide variety of document types.
Printing and distributing documents as needed, scanning and uploading documents according to company procedures.
Collecting and registering all technical documents such as drawings, management papers, correspondence, contracts, invoices, quotations in accordance with company procedures.
Coordinating and compiling weekly and monthly reports.
Reviewing documents, checking they comply with regulations, creating revisions and archiving outdated versions.
Distributing documents to the relevant people, departments or organizations, and informing them when they need to take action on a document as part of a process.
Creating and maintaining master document templates and forms.
Ensuring that departments are following the correct procedures in the document flow process.
Requirements:
Possess at least a Bachelor's Degree, Post Graduate Diploma, or Professional Degree in Construction Management, Civil/Structural Engineering, or a related field.
Minimum 2 to 5 years experience in a similar role. Previous experience with Developer is an added advantage.
Experience working with many types of files.
Ability to organize and preserve paper documents.
Excellent IT skills, and experience of using software such as Microsoft Word, Excel, and Adobe Acrobat.
Attention to detail, excellent organizational skills, good written and verbal communication skills, good multitasking skills.
Effective communication with coworkers across departments, consultants, subcontractors, suppliers, authorities, and staff at all levels.
Demonstrated experience in building and developing a strong and successful team.
