Job Function

  1. Organize and support Corporate Governance job with instruction of Directors.
  2. Communicate with Japan office related to Corporate Governance when necessary.
  3. Manage Corporate Support Team to proceed overall back-office job.
  4. Maintain healthy relationships among employees with excellent communication skills and proactive attitude.
  5. Handle documentation and scheduling with excellent organizing skills.
  6. Manage and improve KL office facilities, infrastructure, conditions, and office security.
  7. Understand Japanese company culture; willingness to learn is important.
  8. Lead the career development of subordinates.
  9. Discuss and propose organization structure and staff career development plans.
  10. Attend meetings with Japan related to Corporate Governance and collaborate with Directors to implement policies.
  11. Support analyzing and updating overall company regulations and policies with Directors.
  12. Collaborate and communicate with company secretariat on business-related matters.
  13. Support expatriates in work permit applications and basic personal life-style support.
  14. Arrange hiring procedures to ensure sufficient manpower in the Sales office.
  15. Monitor and arrange onboarding programs for new employees (ID, PC, E-mail address, Name Card, etc.).
  16. Manage reporting of attendance and overtime matters for accurate salary calculation.
  17. Coordinate and organize related forms including leave forms, staff tokens, and PR.
  18. Communicate and execute newly established policies with support from HRGA and Directors.
  19. Understand Sales office situation and propose upgrades to policies, events, and office setup.
  20. Monitor and implement ideas for providing good hospitality to visitors and clients.
  21. Support Sales team and Directors on travel arrangements (Visa, Flight, Stay, Logistics, Allowance, etc.).
  22. Coordinate and arrange training for Sales Teams with HQ.
  23. Act as Safety and Health representative for Sales Team in the SHE Committee.
  24. Complete necessary documents and licenses to maintain office operations.
  25. Propose upgrades for company organization structure and staff career development plans.
  26. Monitor and manage company-related assets efficiently (e.g., office facilities, company vehicles, credit cards, etc.).

Qualifications

  • Requirement
    Education Background: Possess Diploma/Degree in Business Administration, International Business, Secretary, or other equivalent fields.
    Experience: Preferably 2 years of experience in company operation/management coordination. Secretarial experience is an advantage.
    Understanding of Company Act 2016 is a bonus.
    Excellent oral and written communication skills in English, Malay, and Japanese; proficiency in other foreign languages is an advantage.
    Strong interpersonal and communication skills to foster teamwork.
    Computer literacy with Microsoft PowerPoint, Word, and Excel.
