Responsibilities:

  1. Coordinate project management activities, resources, equipment, and information.
  2. Liaise with clients to identify and define requirements, scope, and objectives.
  3. Assign tasks to internal teams and assist with schedule management.
  4. Ensure that client’s needs are met as projects evolve.
  5. Assist Head of Department in preparing budgets.
  6. Analyze risks and opportunities.
  7. Oversee project procurement management.
  8. Monitor project progress and handle any issues that arise.
  9. Act as the point of contact and communicate project status to all participants.
  10. Work with the Project Manager to eliminate blockers.
  11. Use tools to monitor working hours, plans, and expenditures.
  12. Create and maintain comprehensive project documentation, plans, and reports.
  13. Assign all Inspectors their daily tasks based on the scope of work provided by the client.
  14. Be the focal person between Branches and Intercompany for daily operations of the INY department.
  15. Support BD department & T&P department on queries by clients & tender submissions.
  16. Support each of the Branches (Kemaman, Pasir Gudang, Lumut, Miri) on their day-to-day operations.
  17. Make arrangements for clients & inspectors for offshore activities.
  18. Keep track & records and document control for all client documentation, inspection deliverables & inspector personal documentation.
  19. Be the Key User for all internal software used by the department (e.g., Siebel, FLEX, etc.).
  20. Communicate with internal BV on inspections outside Malaysia.
  21. Assist QHSE Manager, as a QHSE Committee member within the INY department to support QHSE related matters.
  22. Provide monthly forecasts of revenue and cost, activity summary & MBR of major project activities within the department and present the input to Top Management.
  23. Keep records on all inspector technical certificates and other relevant documents as per BV requirements.
  24. Assist Technical Manager on Inspector competency matrix.
  25. Assist INY Department on day-to-day operations.
  26. Assist other related project work as per instructions from the Operations Manager.
  27. Prepare billing instructions for invoicing.
  28. Coordinate with senior coordinator on existing and ongoing projects to avoid any conflict in coordination.

Requirements:

  1. Willing to work as a coordinator.
  2. Good in writing and speaking in English.
  3. Possess a degree in engineering.
