Job description

The Compliance Administrator is primarily responsible in ensuring that Melaleuca’s external customers and internal customers (employees) comply with Melaleuca's set policies and guidelines through education and mitigation. This role will report directly to the Assistant Compliance Manager.

Responsibilities

  • Manage, monitor and standardize the overall compliance function of Melaleuca Malaysia.
  • Monitor and ensure that all social media posts relating to Melaleuca comply with the Melaleuca Social Media Guidelines.
  • Search, investigate and remove all Melaleuca products that are sold online or on any other platforms that prohibit the sale of Melaleuca products.
  • Plan and conduct training sessions on policies and procedures for the Marketing Executives.
  • Work closely with leaders and other departments (Sales & Customer Service) to provide compliance advisory, expertise, training and guidance.
  • Proactively monitor any compliance breaches and take necessary actions to mitigate cases found or highlighted in a timely manner.
  • Closely monitor all compliance breaches from end to end until the case is closed.
  • Prepare daily, weekly and monthly compliance reports to update the Assistant Compliance Manager, Head of Department and Vice President of Southeast Asia when required.
  • Seek regulatory and compliance advice from Melaleuca Home Office on cases requiring legal proceedings.
  • Liaise with and update the Melaleuca Home Office Compliance Team on the progress of compliance cases.
  • Design procedures, training materials and compliance tools such as protocols, official letters and anything deemed necessary and relevant.
  • Conduct random compliance reviews on a monthly, quarterly and yearly basis on commissioning, paperwork, quality development, and departmental practices including standardization of information across the company and market.
  • Recommend possible improvement plans to the Management to enhance compliance standards of the company.

  • Does not supervise others.

Knowledge, Skills and Ability Requirements

  • Minimum 3 years of experience in compliance/fraud management/legal services.
  • Excellent interpersonal and communication skills.
  • Able to analyze data/information and develop workable solutions (analytical and detail-oriented).
  • Able to work independently and with minimal supervision.
  • Exhibit professionalism at all times, especially when dealing with Marketing Executives.
  • Able to act quickly and deliver with efficiency and accuracy.
  • Firm, able to make decisions and provide relevant suggestions.
  • Flexible with working hours, especially when there are urgent cases to handle.
  • Able to travel or perform site visits outside of working hours if required.
  • Proficient in Microsoft Outlook, Excel, PowerPoint, and Word.
  • Language proficiency (speak, read and write) in all 3 languages: Bahasa Melayu, English, and Mandarin.
  • We are looking for Mandarin-speaking candidates to serve our large base of Mandarin-speaking customers.

Education Requirements

  • Minimum Diploma in a related field.
