Job description

Alpha International Women's Specialists – Kota Kinabalu, Sabah

Responsibilities

  • Oversee the day-to-day operations of the IVF clinic, ensuring smooth workflow and efficient patient care.
  • Manage operations of the day-care and OT/clinic by effective utilization of resources to ensure quality patient care.
  • Ensure timely, accurate, and legible documentation is followed by doctors, nurses, and everyone concerned with patient care.
  • Maintain a database of total cases referred, direct walk-ins, patient referrals, successful cases, failure rates, and reasons for failure.
  • Oversee procurement of drugs, equipment, and consumables, ensuring good inventory management for cost-effectiveness.
  • Monitor cashiering activities to ensure billing accuracy as per service charges listing.
  • Ensure all PPM maintenance on clinic equipment is done as scheduled.
  • Ensure emergency plans are in place for disastrous events.
  • Maintain the highest standards of hygiene and cleanliness.
  • Manage clinical waste according to standards.
  • Manage and maintain the Company’s IT infrastructure.
  • Work closely with physicians, nurses, and other healthcare professionals to ensure comprehensive patient care.
  • Implement best practices to ensure high-quality patient care and maintain patient satisfaction.
  • Counsel patients and their families about the formalities, benefits, and risks of reproductive treatment.
  • Interact with patients, suppliers, business partners, and other associates to build rapport.
  • Handle patient complaints and maintain an efficient feedback and response system.
  • Manage the clinic’s budget, monitor expenses, and assist in financial planning.
  • Devise and implement action plans for achievement of OPU targets and monitor business performance.
  • Recruit, train, and manage clinic staff, fostering a positive work environment.
  • Perform manpower planning and oversee duty rosters and leave management.
  • Establish performance requirements and evaluate the work of subordinates.
  • Work with HR in investigating disciplinary issues and managing staff-related events.
  • Plan and manage training, learning, and development activities of department members.

Regulatory Compliance

  • Ensure compliance with healthcare regulations, safety standards, and accreditation requirements.
  • Ensure clinical policies and procedures meet governing, licensing, or accrediting body requirements.
  • Monitor and renew doctors’ and nurses’ APC & renewal of Centre’s license, MPBJ license, etc.
  • Act as liaison between the company and MOH/MMC on any matters.
  • Assist in developing marketing strategies to attract new patients.

Risk Management & Business Continuity Planning

  • Act as Person in Charge to ensure the centre is prepared for potential challenges.

Reporting

  • Prepare and present reports on clinic performance, patient satisfaction, and operational efficiency to senior management.

Others

  • Undertake special assignments, ad-hoc tasks, and cover duties of colleagues as necessary.

Job Requirements

  • Minimum of a Bachelor’s degree in Healthcare Administration, Business Administration, or a related field (Master’s preferred).
  • Knowledge of relevant healthcare regulations and accreditation standards.
  • Excellent leadership skills and a passion for providing exceptional patient care.
  • Strong analytical and problem-solving abilities.
  • Excellent marketing communication and planning skills.
  • Good communication skills, both written and verbal.
  • Demonstrates flexibility and innovative approach to work relationships.
  • Proficiency in healthcare management software and Microsoft Office Suite.
  • Minimum 3 years’ relevant experience with a strong background in healthcare management.
  • Promoting excellence in nursing services within the fertility industry.
  • Excellent interpersonal skills: influencing, persuasion, negotiation, and empathy.
  • Commitment to promoting Company’s values and corporate objectives.
  • Awareness of industry trends and developments.
