Job description

This role is responsible for the administration and coordination of the brand clusters to achieve efficiencies in cost, ensure timely and accurate submission of key financial and non-financial documents as well as control of no-charge inventory for the brands.

What You Will Achieve

  1. Responsible for the administration and coordination of brand clusters to achieve cost efficiencies, ensure timely and accurate submission of key financial and non-financial documents, and control no-charge inventory for the brands.
  2. Raise and track all shopping carts, GR completed jobs, liaise with vendors for quotations and invoices, and ensure correct GL codes and cost centers. Raise new project AR and follow up to ensure closure after completion.
  3. Main liaison for coordinating overseas, interstate, and virtual meetings, including participant details, flights, transport, accommodation, F&B, and IT-related equipment. Coordinate availability, send calendar invites, and manage virtual meeting links and room setups.
  4. Support marketing team by managing invitation lists, RSVPs, and charging out door gifts/collaterals for marketing events. Coordinate F&B and apply for necessary licenses for out-post event areas. Source, negotiate, and manage replenishment of brand-related collaterals and printed materials.
  5. Track and control inventories of marketing and education materials, manage delivery to stores, follow up on approvals and contracts, and ensure proper filing of important documents. Perform no-charge of saleable and non-saleable items for company and brand activities.
  6. Maintain confidentiality of sensitive information, comply with company policies and procedures, and ensure all PR stocks are tracked and recorded based on company P&P. Conduct half-yearly PR stock audits with finance and implement necessary actions to ensure compliance.

What You Will Need

  1. Bachelor’s degree or equivalent with 3 years of relevant experience in the related field.
  2. Proficiency in Microsoft Office.
  3. Strong communication, collaboration skills, time management and multitasking skills.
  4. Maintain confidentiality, tact, and discretion in interactions.
  5. Ability to work under pressure and tight deadlines.

Proven track record of success in a similar role.
