Job description

Assistant Vice President, Vendor and Contract Management

Responsible for overseeing the operations of the Bank’s vendor relationships. This includes creating and implementing policies and procedures for managing vendor relationships, as well as maintaining records of these relationships. Additionally, the vendor management person may be responsible for conducting due diligence on potential vendors, negotiating contracts, and monitoring vendor performance. Vendors are responsible for providing goods and services on time, within budget, and meeting the quality and safety standards of the organization.

Vendor Management and Contract Management

  • Responsible for overseeing the Bank’s outsourcing arrangement. This includes reviewing the outsourcing checklist submitted, liaising with Group Risk Management and Group Compliance on the materiality of the proposed outsourcing management.
  • Annual review and update the outsourcing register and perform the gap analysis when necessary.
  • Developing and sustaining long-standing relationships with company-approved vendors.
  • Meeting with suitable vendors to assess their products, inquire about their services, negotiate pricing, and communicate any product or service-related concerns.
  • Conducting research on available vendors to determine which vendor offers the best pricing and product quality.
  • Continue monitoring the overall cost-saving initiative.
  • Ensure the vendor selections are in accordance with the Bank’s policy.
  • Conducting interviews with new vendors and informing approved vendors of their responsibilities and obligations.
  • Establishing standards by which to assess the performance of the approved vendors.
  • Evaluating the current vendor management program and identifying ways to improve it.

Outsourcing Management

  • Outsourcing arrangement gap analysis.
  • To ensure all outsourcing arrangement approval processes follow Kenanga Investment Bank and BNM guidelines.
  • Review and update the service agreements of all outsourcing arrangements.
  • To review and check all the outsourcing arrangements submitted.
  • To liaise with Group Risk Management and Group Compliance on the outsourcing arrangements.
  • To perform annual reviews and gap analyses of all existing outsourcing arrangements.
  • To update the outsourcing plan and register as per BNM Policy and Guidelines.

Requirements:

  • Degree holder (or Diploma with a minimum of 5 years’ experience may apply)
  • Possess excellent analytical, problem-solving, and organizational skills
  • Possess knowledge of vendor management and outsourcing arrangements
  • Effective written and verbal communication skills
  • Ability to work independently and multi-task in a fast-paced team environment
