About the Role
The Assistant Vice President – Inventory Control and Accounts Receivable position is responsible for protecting the assets of the Group, namely Inventory and Accounts Receivable, as well as ensuring that set processes are followed.
Key Responsibility Areas:
Inventory Integrity and Reporting
- Responsible for ensuring that inventory records for the Group are accurate at all times.
- Ensure stock adjustments are authorised and actioned in a timely manner. Verify count results submitted by all countries before proceeding with adjustment and determine, where possible, if variance is caused by system, human error, or actual stock loss/theft.
- Play a leading role when inventory integrity issues occur – investigate and recommend corrective actions.
- Ensure testers and damages are reported and adjusted monthly.
- Identify and analyse inventory integrity issues – recommend and implement corrective actions.
Inventory Loss Prevention
- Oversee stock take preparation, counts, investigate discrepancies, and submit as per timeline.
- Key liaison person with external third-party stock counters, in planning and coordination of counts.
- Group Stock Take Plan must be proposed and agreed with brand/operation teams.
- Work with the retail team and Area Managers to manage inventory and minimize stock losses (within agreed level of tolerance per brand/product category).
- Ensure inventory management policy and process compliance by operation, including stock receiving, adjustments, and stock transfer.
- Train the Inventory Count Team to ensure team members have a good understanding of the whole Inventory Count process and synchronised processes across different countries.
- Conduct random and ad hoc inventory audits.
Inventory Productivity and 3PL
- Collaborate with the logistics coordinator and the relevant operation team to ensure store-to-store and store-to-warehouse transfers have been adjusted in the system.
- Collate and deliver open feedback between the retail team and other departments to ensure integration of the inventory management processes and strategy.
Account Receivable (AR) and Cash Reconciliation
- Lead and manage AR team, ensuring efficient and effective management of all aspects of accounts receivable operations.
- Oversee the end-to-end AR process, including invoicing, billing, and cash application to ensure accuracy and timeliness.
- Monitor aging reports and daily cash collection on time.
- Ad hoc reporting on exceptional cases such as void sales, bill cancellation, and sales return to share with Brand GM and develop action plan.
- Spend time in store and with the retail teams and customers to understand and identify inventory critical issues to ensure alignment with tactics, strategies, and solutions across the business.
- Identify opportunities for process automation, system enhancements, or workflow improvements to enhance productivity and reduce manual effort.
- Foster strong governance and fraud prevention on retail cashiering.
Key Requirements:
- Bachelor’s degree in accounting, finance, or relevant discipline.
- Progressive experience in inventory management, accounts receivable, or related field, with experience in a leadership or managerial role.
- In-depth knowledge of inventory control principles, accounting principles, and accounts receivable processes.
- Strong analytical skills with the ability to interpret financial data, identify trends, and make data-driven decisions.
- Excellent communication, interpersonal, and leadership skills with the ability to collaborate effectively across departments and manage strong stakeholders.
