Job description

Midas Merge Sdn Bhd is seeking an experienced Administrative Manager (Operation) to join their team in Johor Bahru, Johor. As a full-time member of the administrative department, you will be responsible for overseeing the day-to-day operations and ensuring the smooth running of the office. The Admin Manager (Operation) is to organize and coordinate Group Operation procedures in order to ensure organizational effectiveness, efficiency and safety. He/she shall be experienced in handling a wide range of administrative and executive support related tasks and shall be able to work independently with little or no supervision. He/she must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people.

The Admin Manager (Operation) will oversee three sections under the Admin Department which are:

  • Group Operation Admin Team
  • Group Audit Team

What you'll be doing

  • Developing and implementing administrative policies and procedures to enhance efficiency
  • Managing office supplies, equipment, and facilities to meet the needs of the organisation
  • Coordinating logistics and organising events, meetings, and conferences
  • Providing administrative support to the management team and other departments as required
  • Supervising and training administrative staff to maintain high standards of performance
  • Monitoring and reporting on key performance indicators to identify areas for improvement
  • Ensuring compliance with relevant laws, regulations, and internal policies
  • Administration Standard Operating Procedures:
    • Ensure that SOPs are followed for goods receiving, including verification of quantity, price, and weight.
    • Monitor the accurate entry of information into the company ERP system by the Goods Receiving team &/or Operation team.
    • Oversee proper execution of goods disposal and return procedures according to SOPs.
  • Loss and Prevention:
    • Supervise the Loss and Prevention team in conducting regular stock takes on high-shrinkage and negative stock on hand products as well as annual stock take.
    • Implement measures to minimize losses and improve stock control.
  • Audit Operations:
    • Manage the Audit team to assess whether divisions are complying with SOPs in areas such as housekeeping, stock replenishment, merchandising etc.
    • Ensure the highest standards of retail services are maintained for customers.
  • Operational Issue Resolution and SOP Improvement:
    • Address operational flow issues promptly and efficiently.
    • Continuously improve SOPs to enhance efficiency and effectiveness.
  • New Outlet Setup Assistance:
    • Provide support in setting up administrative processes for new outlets.
  • Staff Training:
    • Train staff on the usage of the company's ERP system, PDAs, and other relevant systems.
    • Ensure staff are familiar with accessing and utilizing information promptly for effective action.
  • Ad-hoc assignments by the Management as and when required.

What we're looking for

  • Minimum of 5 years' experience in a similar administrative management role, preferably in the office management industry
  • Strong organisational and problem-solving skills with the ability to multitask and prioritise effectively
  • Excellent communication and interpersonal skills to interact with stakeholders at all levels
  • Proficient in the use of office software, including Microsoft Office suite
  • Tertiary qualification in business administration, management, or a related field
  • Familiarity with office management best practices and industry regulations
