Job description

Job Summary:

We are seeking a highly organized and detail-oriented Administrative Executive to join our team. The successful candidate will support daily administrative operations, ensure compliance with industry regulations, and coordinate communication between stakeholders. Responsible for ensuring daily tasks are being planned, scheduled, and executed efficiently. Upholding high levels of integrity and professionalism in all administrative functions. Ensuring accuracy and thoroughness in documentation and compliance matters.

Qualifications & Requirements:

  • Bachelor’s degree in Business Administration, Management, or any related fields.
  • Minimum of 3-5 years of experience in administrative roles (experience in the architecture/building industry is an advantage).
  • Strong command of English and Bahasa Malaysia (both written and spoken).
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and other administrative tools.
  • Skills in graphic design including related graphic design software will be an added advantage.
  • Knowledge of industry regulations, building codes, and statutory requirements is a plus.
  • Excellent organizational, problem-solving, and communication skills.
  • Ability to multitask and work efficiently, prioritize effectively, and maintain meticulous records.
  • Handle general administrative tasks such as answering phone calls, responding to emails, and managing correspondence.
  • Provide administrative support to the management team and ensure smooth daily operations.
  • Handle correspondence, emails, and inquiries professionally and promptly.
  • Coordinate and schedule meetings, appointments, and travel arrangements when requested.
  • Assist in meeting coordination, preparing agendas, minutes, and follow-ups.
  • Prepare and manage reports, presentations, and other documentation for meetings and presentations.
  • Liaise with stakeholders, including architects, government bodies, industry professionals as well as members of public.
  • Support the implementation of policies and procedures to ensure regulatory compliance.
  • Maintain and update databases, membership records, and other related matters.
  • Assist in organizing events and seminars related to the industry.
  • Perform other administrative duties as assigned by management.
  • Provide support and assistance to other team members as needed.
