Location: One City, Subang Jaya
Salary: RM1,600 – RM2,500 (Based on experience and qualifications)

We are an expanding electrical construction company, committed to providing quality solutions and services. To support our growing operations, we are seeking a dedicated Administrative Assistant to join our team and help maintain smooth office operations.

Job Description:
The Administrative Assistant will be responsible for handling various administrative tasks to support the office and project teams. The ideal candidate will be detail-oriented, organized, and able to handle multiple tasks efficiently in a fast-paced environment.

Key Responsibilities:

  1. Manage office documentation, including filing, organizing contracts, and project records.
  2. Handle the vendor registration process, ensuring timely submission and compliance with company requirements.
  3. Prepare official letters, memos, and other general correspondence as needed.
  4. Monitor and manage the general company email inbox, ensuring important emails are flagged and promptly forwarded to the appropriate person in charge (PIC).
  5. Arrange interviews for potential hires and internship candidates, coordinating with relevant team members.
  6. Monitor and keep track of certificates nearing expiration, alert relevant personnel, and ensure timely renewal.
  7. Perform general administrative tasks and support the team with ad hoc tasks as required.
  8. Order and manage office supplies, liaising with vendors and service providers.
  9. Assist with invoicing, payment tracking, and other basic financial tasks as needed.

Requirements:

  1. Minimum qualification of SPM.
  2. Proven experience in an administrative role, preferably within the construction or related industry.
  3. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  4. Strong communication and organizational skills.
  5. Ability to prioritize tasks, multitask, and work independently in a fast-paced environment.
  6. High attention to detail, especially in handling emails, correspondence, vendor registration, and certificate renewals.
