Job Description

We are seeking a highly organized and detail-oriented Administration Executive to join our team. The ideal candidate will be responsible for overseeing a wide range of administrative tasks to ensure the smooth and efficient operation of our office. The Administration Executive will play a key role in managing office operations, supporting senior management, and maintaining a professional and welcoming environment for all stakeholders.

Key Responsibilities:

  1. Manage day-to-day administrative tasks, including answering phones, managing correspondence, and organizing files and documents.
  2. Coordinate and schedule appointments, meetings, and events, both internally and externally.
  3. Serve as the primary point of contact for internal and external stakeholders, including clients, vendors, and employees.
  4. Provide executive support to senior management, including calendar management, travel arrangements, and expense reporting.
  5. Assist with the recruitment and onboarding process, including posting job openings, scheduling interviews, and preparing new hire documentation.
  6. Maintain office supplies inventory and place orders as needed to ensure adequate stock levels.
  7. Assist with special projects and initiatives as assigned by senior management.
  8. Ensure compliance with company policies and procedures and maintain confidentiality of sensitive information.

Requirements:

  1. Bachelor's degree in Business Administration, Management, or a related field preferred.
  2. Proven experience in an administrative role, with a strong understanding of office management procedures and best practices.
  3. Excellent communication and interpersonal skills, with the ability to interact professionally with individuals at all levels.
  4. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  5. Strong organizational skills and attention to detail, with the ability to multitask and prioritize workload effectively.
  6. Ability to work independently with minimal supervision and as part of a team in a fast-paced environment.
  7. Flexibility to adapt to changing priorities and deadlines as needed.
