Job Description

Key Responsibilities:

  1. Administrative Support: Manage day-to-day office operations, including procuring office supplies and maintaining office facilities. Organize, maintain, and secure company documents and records.
  2. Coordination and Communication: Facilitate internal communications and support inter-departmental coordination. Greet visitors and manage incoming and outgoing correspondence.
  3. Expense Management: Track and process administrative expenses and employee reimbursements. Assist in preparing and monitoring the administrative budget.
  4. Event and Meeting Management: Organize company meetings, take minutes, and follow up on action items. Coordinate employee engagement activities and internal events.
  5. Compliance and Policy Enforcement: Support the implementation and adherence to company policies and procedures. Monitor and maintain office safety and security protocols.
  6. Other Duties: Provide additional support as directed by the HR & Admin Manager. Assist with ad hoc projects and tasks as needed.

Qualifications and Skills:

  1. Education: Diploma or Bachelor's degree in Administrative Management, Business Administration, or a related field.
  2. Experience: Minimum 1-2 years of experience in a similar role. Experience in manufacturing or multinational companies is an advantage.
  3. Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint). Strong organizational and multitasking abilities. Excellent written and verbal communication skills in English and Mandarin (preferred for liaising with HQ). High attention to detail and problem-solving skills.
  4. Personal Attributes: Strong sense of responsibility and team-oriented mindset. Ability to work under pressure and meet deadlines in a fast-paced environment.
