Position Overview:

Effective administrators are the engine behind our impactful nature conservation and education programmes. If you are looking to use your administrative skills to be part of something bigger, this is for you. Reporting to the Head of Administration, we are looking for a dynamic and conscientious Administrative Assistant to join our team behind the scenes to ensure smooth and efficient coordination of our operations. This is a permanent position based in Petaling Jaya or Penang.

Key Responsibilities:

  1. Administrative:
    1. Organize and maintain physical and digital files, ensuring accessibility and accuracy.
    2. Help manage programme resources, including tracking inventory and procurement.
    3. Provide administrative support for field activities, including logistics and documentation.
  2. Financial:
    1. Process invoices, track expenses, and assist with budget management.
    2. Prepare financial reports and documentation for review.
  3. Reporting & Compliance:
    1. Provide administrative support for ongoing conservation projects, including tracking progress and deliverables.
    2. Ensure accuracy and proper filing of project-related documentation.
    3. Ensure administrative practices comply with local regulations and foundation policies.
    4. Assist in preparing reports for regulatory bodies, donors, and other stakeholders.

Qualifications:

  1. Diploma in Business Administration or equivalent.
  2. Minimum of 1-2 years of working experience in office administration or project management.
  3. Good writing and communication skills in English and Malay. Mandarin language will be added value.
  4. Proficient in Microsoft 365 such as Microsoft Office Suite (Word, Excel, Outlook and any other administrative programmes).
  5. Team player, with a demonstrated ability to work across different departments.
  6. Well-organized with strong attention to detail and accuracy in all tasks given.
  7. Ability to handle sensitive information with discretion.
