Responsibilities:

  • Maintain records for all agreements handled by the hospital's Administration.
  • Initiate the renewal process for agreements, draft new agreements, and manage the termination of current agreements.
  • Work closely with the relevant agreement owners and the legal team on all issues related to the agreements.
  • Manage water dispensers throughout the hospital, including new installations and preventive maintenance for existing dispensers.
  • Communicate with vendors regarding any required repair and maintenance work for the water dispensers.
  • Responsible for Astro channels installation and liaising with the vendor whenever channel disruption issues are encountered.
  • Ensure all licenses such as RPM & MACP are renewed on time.
  • Ensure compliance with local authority requirements (e.g., MSQH) in the management of all Administration records.
  • Organize all correspondence letters and memos systematically.
  • Provide support in drafting correspondence letters or memos as needed.
  • Take and document minutes during meetings as needed.

Team Management:

  • Foster a collaborative and positive work environment conducive to achieving departmental goals.

Budget Management:

  • Identify cost-saving opportunities and ensure adherence to budgetary constraints.

Policy Compliance:

  • Ensure compliance with healthcare regulations and organizational policies in all administrative processes.
  • Stay informed about changes in healthcare laws and regulations that may impact administrative functions.
  • Ensure compliance with relevant regulations, standards, and policies related to outsourced services.
  • Implement safety protocols and procedures to maintain a secure and hazard-free environment for staff, patients, and visitors.

Communication and Coordination:

  • Foster effective communication and collaboration between administrative staff, medical professionals, and other departments.
  • Coordinate with other departments to address administrative needs and support their respective functions.

Quality Improvement:

  • Identify areas for improvement in administrative processes and implement strategies to enhance efficiency and effectiveness.

Qualifications:

  • Diploma or Degree in Business Administration or any related field.
  • 3-5 years of proven experience in healthcare administration.
  • Strong knowledge of regulatory requirements and best practices related to healthcare administration.
