Job Description

  • Candidate must possess Diploma/ Bachelor's Degree in Secretarial studies, Business studies, or equivalent.
  • Possess at least 6 years’ relevant working experience.
  • Aged 30 years and above.
  • Good command of spoken and written Mandarin, English, and Bahasa Malaysia.
  • Proficient in using word processing, spreadsheet, and database software.
  • Expected to be able to travel whenever required.
  • Resourceful and professional in handling matters with the strictest confidentiality.
  • May at times have to perform duties during weekends or public holidays.

Responsibilities:

  • Assist in managing day-to-day admin functions including:
  • Upkeep of Wisma Samling building, office equipment, company vehicles, furniture & fittings, office stationeries, and other consumable items.
  • Handle travel arrangements, coordinate meetings, and arrange luncheons/dinner sessions whenever required.
  • Coordinate and organize company events such as Annual Dinner, carnival, celebrations, etc.
  • Prepare and analyze Admin budget and costing for management review and budget preparation for the Administration Department.
  • Review and approve Purchase Requisitions and Purchase Orders for the purchase of office stationeries, sundry items, and project vehicles’ repair & maintenance service requests.
  • Monitor application and renewal of Trading License, Manufacturing License, road tax, vehicle license/permit, and other contracts or statutory documents.
  • Keep track of company vehicles’ accidents and/or insurance claims requests/frequency, and monitor submission of required documents for insurance claim purposes.
  • Ensure company vehicles are well maintained with proper records kept including JPJ, Puspakom, LPKP permit & summons, etc.
  • Liaise with other Heads of Departments to review and establish office rules and policies from time to time.
  • Coordinate with contractors whenever required pertaining to work.
  • Prepare & analyze monthly shell card usage and circulate information to relevant parties.
  • Ensure telecommunication & other necessary services are available and orderly.
  • Oversee Security department functions and personnel matters.
  • Any other duties as assigned by the superior from time to time.
