Admin and Operation Executive (Healthcare Division)

Responsibilities:

  • Handling and monitoring the daily operational activities of the hospital and ensuring smooth communication between various clinical and non-clinical departments, including patients and visitors.
  • Assisting in supervising the tasks assigned to telephone operators, receptionists, customer service, concierge, and other administrative staff.
  • Providing operational support to other departments within the hospital as required.
  • Providing ideas to strengthen operational policies and ensuring proper implementation of such policies towards the provision of excellent care.
  • Analyzing workflows and updating strategies to improve the efficiency of services.
  • Optimizing operational budget and minimizing inefficiencies without jeopardizing the quality of patient care.
  • Coordinating with all departments to ensure all supplies and equipment are stocked and in working condition, and ensuring that all departments maintain accurate and updated records for inventory and sales reports.
  • Reporting incidents within the hospital to management.
  • Providing operational support in promotional events and sales reporting.
  • Ensuring compliance with company policies and procedures.

Administrative Tasks:

  • Ensuring hospital licenses are up-to-date and assisting in the renewal of such licenses as assigned by management.
  • Liaising with local authorities for the upkeep of licenses.
  • Ensuring the hospital operates according to all legal standards, including ensuring all medical providers regularly update their licensing and participate in continued education and professional development.
  • Assisting the manager in monitoring the activities of outsourced parties, such as clinical waste operators, housekeeping, security, etc.

Any other duties:

  • Any other duties commensurate with the accountabilities of the post.
  • Any other ad hoc duties as assigned by the Company/Management/Board/Reporting Superior.

Key Requirements:

  • Education: Diploma or Degree in Business Administration or a related field.
  • Experience: At least 2 years of administrative or operations experience (experience in hospital operation is preferable).
  • Strong organizational and multitasking skills.
  • Excellent communication skills (both written and verbal).
