Official Working Hours: 5 days a week (8:00 am - 5:00 pm)

Off day: Saturday & Sunday, working 5 days per week.

Employment Type: Full-Time

We are currently seeking a motivated and detail-oriented individual to join our Finance Department as an Assistant to support our Finance Manager in various finance and administrative tasks.

Position Overview:
The Assistant in the Finance Department will play a key role in ensuring the smooth operation of financial processes and administrative functions within the medical services and insurance sectors. This position requires a proactive individual with strong organizational skills and the ability to manage multiple tasks efficiently. The ideal candidate will work closely with the Finance Manager to support financial reporting, budgeting, HR administrative tasks, IT-related duties, and office maintenance.

Key Responsibilities:

  • Assist the Finance Manager in daily financial operations and administrative tasks.
  • Prepare financial reports and assist in financial reporting processes as needed.
  • Collaborate with the Finance Manager on closing full set account, budgeting and forecasting processes.
  • Maintain accurate financial records and documentation.
  • Help with accounts payable and receivable processes.
  • Conduct finance verification and check financial documents for accuracy and completeness.
  • Support payroll processing, including checking overtime and verifying staff claims.
  • Manage attendance records and ensure accurate tracking of employee attendance.
  • Assist with HR-related tasks such as onboarding new employees and maintaining personnel files.
  • Chase payments from clients and assist in making payments to vendors and suppliers.
  • Act as a runner, visiting government departments, banks, embassies, and other locations as needed.
  • Assist in work permit applications and other administrative tasks related to HR and compliance.
  • Support IT-related tasks, such as troubleshooting software issues, maintaining IT equipment, and coordinating with IT vendors.
  • Assist in office and equipment maintenance tasks, ensuring that the office environment is well-organized and equipment is in good working condition.
  • Coordinate and assist with audits and compliance activities.
  • Support the Finance Manager in project management and other special tasks as assigned.
  • Perform data entry and maintain financial databases.
  • Respond to inquiries from internal departments regarding financial information.
  • Undertake any other ad-hoc tasks assigned by the manager or company.

Qualifications:

  • At least a Diploma in Accounting or Finance related field.
  • Minimum 2 years working experiences in Accounting related field.
  • Previous experience in finance or administrative support roles is an advantage but not required.
  • Basic knowledge of IT systems and troubleshooting is preferred.
  • Good analytical and problem-solving skills.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and financial software is a plus.
  • Good organizational skills and attention to detail.
  • Ability to work collaboratively in a team environment.
  • Good communication skills, both written and verbal.
  • Ability to manage time effectively and prioritize tasks.
