Job description

We are a 41-year-old environmental protection mechanical engineering company and are currently undertaking continuous projects. Due to our business expansion, we are inviting you to join us as one of our dynamic team!

Job Summary:

  • We are seeking an organized and detail-oriented Account and Admin Executive to join our team.
  • The successful candidate will focus on managing accounts receivable, banking transactions, and various accounting and administrative duties.
  • This role requires a proactive individual who is comfortable working with ERP systems, liaising with internal & external parties, and assisting in general accounting tasks such as report preparation, payment collection, inter-company transactions, and account reconciliation.
  • The candidate must also be willing to travel to our Nilai factory once or twice a month.

Key Responsibilities:

  • Accounts Receivable:
    • Prepare and send e-invoices, DO, CN, DN, and statement of account to customers, ensuring customer receipt and acceptance.
    • Ensure timely collection and follow-up with customers for payment status and signed DO via calls, emails, and WhatsApp.
    • Assist with customer account registration, tendering, and grant document preparation.
    • Prepare reminders, demand letters, and blacklist letters to overdue customers when necessary.
  • Aging and Ledger Reports:
    • Prepare and maintain aging reports to track overdue payments and for cash flow forecast purposes.
  • ERP System Management:
    • Use ERP software to manage accounting and administrative tasks efficiently.
    • Collaborate with ERP support and programmers for troubleshooting or improvements.
  • Collaboration with External Parties:
    • Liaise with auditors, tax agents, bankers, LHDN, MIDA, MPKJ, and other external parties to ensure compliance and smooth financial operations.
    • Assist in preparing necessary documentation for audits and tax submissions.
    • Ensure all filing systems are in place and ready for audit purposes.
  • General Accounting Duties:
    • Prepare payment vouchers and perform online banking and cash transactions.
    • Perform regular checking and reconciliation of the general ledger, customer and supplier balances, and bank accounts.
    • Ensure accurate inter-company balances and journal transactions.
    • Assist in stock counts and scrap disposal processes at the Nilai factory.
  • ISO Documentation:
    • Assist in preparing and maintaining ISO documentation related to accounting and admin functions.

Requirements:

  • Minimum A-Level, Diploma in Accounting or Higher LCCI Diploma, or related discipline.

Work Experience Required, Other Attributes & Pre-requisites:

  • Minimum LCCI Diploma in Accounting or a related qualification.
  • At least 3 years of working experience in accounting and administrative roles, with a focus on accounts receivable, customer collection, and ERP systems.
  • Knowledge of general accounting principles, accounts payable/receivable, bank reconciliation, and ledger maintenance.
  • Familiarity with cloud documentation filing systems is a plus.
  • Proficiency in Microsoft Office applications (Excel, Word) and ERP software.
  • Strong communication skills, both written and verbal (fluent in English; Bahasa Malaysia and Mandarin is an added advantage).
  • Willingness to travel to Nilai (approximately once or twice a month).
