Job Summary
Under the coordination of the Supervisor, handle the proper opening and closing procedures of the school and supervise the smooth flow of students' entry and exit by verifying their proper registration, as well as that of staff and guests. Manage communication channels with students (telephone, e-mail, de visu, chat and all channels provided and manned), assess the motivation for contact and correctly route incoming e-mails/phone calls to the appropriate department. Ensure activities in favor of students, providing useful information and answering their questions in a timely and accurate manner. Manage outward communication on the school's manned channels (e.g., App IM Society). Support departments in organizing activities for students and external guests.
Key Purpose of the Role
- Opening and Closing of the School: Ensure the opening and closing of the school at the established times. In accordance with the Facilities department, supervise the proper entry and exit of students by monitoring registration procedures and the proper fulfillment of entry procedures of outside guests and staff. Support the entry and exit of outside vendors in accordance with the Facilities department. Keep the reception area neat and organized.
- Internal and External Communication: Guarantee proper internal communication within the school by sorting phone calls, mail, e-mail, and institutional communications, as well as external communication. Welcome students and external guests by addressing them appropriately and notify school staff of the arrival of external guests in a timely manner. Provide support in entering and setting up data for proper student management in all school computer tools.
- Information Services (Student Communication): Manage communication channels with students, responding to inquiries received via phone, e-mail, de visu, chat, and all channels provided and manned. Sort inquiries/concerns received by the various channels to the correct department. Ensure student support activities for Milan schools, providing useful information and answering their questions in a timely and accurate manner. Ensure the first line of assistance for students, intake by the appropriate department, and contribute to ensuring that students are satisfied with the services offered by the school.
- Organizing Agenda/Other Activities: Support departments in managing appointments/events with internal and external guests and booking internal school spaces or other services that may be needed (e.g., cabs, catering). Support departments and faculty in carrying out student-facing activities (sending certificates, documents, information, collecting materials, compiling student feedback).
Educational Skills:
- Bachelor's Degree in Politics, Economics, Humanities, or Languages
- Proficiency in English
