Wood is recruiting for an Expediting and Inspection Coordinator to join its Projects – Process and Chemical team focusing on post order activities of complex plants in the Chemical, Petrochemical, Pharmaceutical and Energy industries. The position will be based in Corsico (Milan) office, with the possibility to work from home up to two days per week.

The Role

The Expediting and Inspection Coordinator oversees and manages the activities of the expediting team and will be the main contact for all expediting activities, both at the desk and shop levels.

Expected:

  • BSc/MSc in mechanical, chemical or energy engineering.
  • Certified Level 2 Operator for non-destructive testing (PT, MT, UT, RT) in accordance with the rules established by the standard UNI EN ISO 9712 or trained and certified according to other international standards equivalent to UNI EN ISO 9712 (e.g. ASNT SNT-TC-1A).
  • Welding Inspector in accordance with the EWF or CSWIP.
  • Proven experience in the role.
  • Self-motivation, a proactive outlook and good communication skills.
  • Empathy, curiosity, seriousness, aptitude for problem solving.
  • Ability to listen and relate to various business functions (including management) of both the supplier and the customer.
  • Method for proceeding with the monitoring of the purchase orders.
  • Ability to concisely transfer the purchase order status and critical issues of each to other departments.
  • Knowledge of the product for which you are expediting and preparing for the visit/contact desk.
  • Knowledge of the main applicable documents and pay particular attention to those that may be blocking the issuance of sub-orders.
  • Ability to analyze a Vendor Document List and grasp its criticalities.
  • Ability to analyze a sub-order list and correlate them with production times.
  • Ability to read and interpret a fabrication schedule/production program.
  • Ability to evaluate how realistic the program is by analyzing the feasibility of the phases to come.
  • Ability to read an Inspection and Test Plan and grasp any critical issues.
  • Ability to manage the Expediting activity with the aim of preventing delays.
  • Fluent in English and Italian.

Desirable:

  • Similar experiences in other major EPC Contractors.

The key objectives for this role are:

  • Oversee and manage the activities of the expediting team.
  • Be the main contact for all expediting activities, both at the desk and shop levels.
  • Participate in meetings during the pre-award phase and provide input to the Project Supply Chain Manager regarding supplier evaluation.
  • Prepare a comprehensive expediting plan, assigning criticality levels to all purchase orders.
  • Assign purchase orders to Desk Expeditors and regularly review their performance.
  • Review and approve the use of third-party expediting and inspection resources.
  • Coordinate and facilitate expediting activities between different disciplines within the project.
  • Agree on the format, frequency, and ownership of project expediting status reports.
  • Review and reassess the criticality levels of purchase orders to ensure they align with project priorities.
  • Attend regular engineering review meetings to prioritize specific data requirements.
  • Serve as the first point of escalation for purchase orders experiencing poor performance.
  • Attend shop visits to critical path suppliers, supporting ongoing expediting activities.
  • Provide a single point contact to manage the interface between the Client and Wood for all matters relating to inspection.
  • Prepare and issue Source Inspection Plan and Procedure.
  • Review all direct purchase orders and Vendors’ suborders against material requisition and job specifications.
  • Define the Level of Inspection for all inspectable items.
  • Ensure that dedicated Inspection and Test Plan (ITP) will be prepared by Vendor.
  • Schedule and supervise the review of Vendor's ITP and inspection procedures.
  • Ensure that notification of readiness for inspection is prepared by Vendor.
  • Coordinate execution of Inspections through assigned Wood Inspectors.
  • Maintain an efficient inspection program on Vendor supplies.
  • Attend orders negotiation, assisting in solving questions concerning the extent of Inspection.
  • Avoid that inspectable material could be shipped without inspection.
  • Confirm to Vendors that production may not be stopped while waiting for the Inspector.
  • Obtain unpriced Sub‑order copies from Vendors and distribute them to appointed Inspector.
  • Inform all involved parties about the manufacturing location for each Order.
  • Timely check the flow of Inspection correspondence between Wood and Vendors/Sub‑vendors.
  • Arrange the Pre‑inspection Meeting when required.
  • Schedule and coordinate the source Inspection visits.
  • Check whether proper assignments are issued to Wood Inspectors.
  • Ensure that each Inspection visit is covered by the relevant report.
  • Contact Vendors at the final inspection stage to prevent and/or solve any possible problem that may cause Rejection or Non‑Conformity.
  • Push Vendors to solve / clarify all questions that could arise during Inspection visits.
  • Promote internal meetings when necessary to clarify questions related to inspection.
  • Distribute the Vendor Non-Conformity Reports to appropriate parties.
  • Keep a log of all Vendor Non-Conformities issued.
  • Obtain from the Inspector his final Inspection Report and acceptance.
  • Issue the inspection release notice and shipping release notice.
  • Expedite the completion and issuing of the Inspection Data Book from Vendors.
