Contract Administrator:
We are looking for a Contract Administrator to support our Project Manager in ensuring contractual compliance and clarity.


Mission:
Assist and support the Project Manager in contract management to ensure document clarity and compliance, including formal compliance with contractual requirements. Manage and draft official communications to the client to report critical project events/communications. Report regularly to the Contract Manager on the status of the contract, highlighting key/potential impacts. Monitor potential sources of dispute, identify opportunities for variations/claims/extra work and assist in the preparation and calculation of variations. Monitor the project risk register, reviewing threats/opportunities and planned mitigating actions.


About the role:

  • Assist with contract management during the execution phase, ensuring contractual obligations are met and providing feedback to the Project Manager and Contract Manager in the event of discrepancies.
  • Critically analysing the contract in order to define its critical aspects and the procedures to be followed in submitting the documentation.
  • Draft official communications with the client and maintain an up-to-date register of incoming and outgoing communications with the client/subcontractors.
  • Assist the Project Manager and Project Control Manager in the evaluation of contract variations/EOT. Prepare the necessary documentation for negotiation throughout the project lifecycle and maintain an up to date variation register with the client/subcontractors.
  • Liaise with the Project Manager during negotiations with the client on potential variations.
  • Participate in the preparation of the Project Close-Out Report, assisting the Project Manager and Project Control Manager in the analysis of deviations from the contract.
  • Keeping the Functional Manager informed of the main activities and problems, following his indications on the methodologies to be applied, and identifying proposals to improve the performance of his work, including through the development of new tools.
  • Assist in identifying the conditions for the enforcement of supplier and/or subcontractor bonds and the conditions for the termination of subcontracts and supply agreements.

Requirements:

  • The extraction should preferably be of a technical-economic nature: Degree in Economics and Commerce, Management, Engineering, or Law.
  • Proficiency in both English and Italian, both written and verbal, is essential.
  • Office package (Word, Excel, PowerPoint) – medium/advanced.
  • Previous experience as a Contract Administrator is preferred.
  • Basic knowledge of AutoCAD and Project/P6 is preferred.

Soft skills:

  • Good organizational, communication and time management skills, handling multiple tasks with accuracy and efficiency.
  • Target oriented.
  • Strong negotiation skills.
