With an ambitious research project underway in Sardinia, we are seeking a highly organized and proactive Chief of Staff to support our growing team.

Role Overview

As Chief of Staff, you will play a pivotal role in ensuring the smooth and efficient operation of our organization. Working closely with the executive team, you will oversee key administrative functions, manage procurement processes, and support HR initiatives. This is a dynamic role that requires:

Key Responsibilities

Administrative & Operations Management

• Oversee daily administrative activities to ensure smooth operations.
• Manage office space logistics, including sourcing and setting up new office facilities in Sardinia.
• Handle document management, contracts, and ensure secure record-keeping.
• Coordinate travel, accommodation, and other logistical needs for team members.

Human Resources (HR)

• Act as the primary point of contact for HR-related matters.
• Manage recruitment processes, onboarding, and employee documentation.
• Facilitate performance reviews, employee well-being initiatives, and team engagement strategies.
• Support the implementation of HR policies and ensure compliance with local labor regulations.

Procurement & Vendor Management

• Manage procurement of IT equipment, office supplies, and other resources.
• Coordinate with suppliers to obtain quotes, compare offers, and finalize agreements.
• Ensure all purchases adhere to grant guidelines and company financial policies.
• Work closely with vendors like Empatica, Dell Italy, and local IT providers.

Coordination & Communication

• Liaise between internal teams, stakeholders, and external partners.
• Provide executive support to the leadership team by tracking key priorities and deadlines.
• Draft reports, communications, and presentations as required.

Qualifications and Skills

• Proven experience in administration, HR, and procurement roles.
• Excellent organizational and multitasking abilities with strong attention to detail.
• Strong communication skills in Italian and English (both written and spoken).
• Familiarity with IT procurement, budget management, and compliance with funding requirements.
• Experience with project management tools like Notion, Google Workspace, and automation tools.
• Previous experience in a startup, research project, or technology-driven organization is a plus.
