As part of our expansion, we have recently opened a new office in Palermo, and we’re looking to strengthen our Reservations Team to support our growing number of Italian students and schools.
Your Mission
To manage, plan, and coordinate bookings for international travel programs in all their phases, ensuring smooth logistics and continuous support to clients and team members — with a special focus on assisting our operations in Italy and supporting Italian students throughout their journey.
Main Responsibilities
- Public Procurement and Tenders
- Preparing and submitting proposals via the MEPA platform for public tenders, including PON (Programma Operativo Nazionale) and PCTO (Percorsi per le Competenze Trasversali e per l’Orientamento) projects with Italian public schools.
- Drafting, managing, and overseeing public procurement bids, ensuring proper preparation and regulatory compliance.
- Reviewing contracts with public authorities to ensure clarity and adherence to terms.
- Using business intelligence platforms (e.g. Infoplus) to monitor contracting authority data.
- Long-term planning to anticipate tender opportunities.
- Reservations and Operations
- Managing reservations for individual clients and school groups traveling abroad.
- Booking flights (including with low-cost carriers) and handling all travel arrangements.
- Creating and managing all travel documentation for students and staff.
- Coordinating logistics for groups and internal operations.
- Supporting the execution and follow-up of international programs with Italian institutions.
- Participating in on-call rotations for travel-related emergencies.
- Communicating with suppliers (e.g. airlines, local correspondents) for quotes, negotiations, and incident resolution.
- Preparing customized quotes for educational programs such as Language Stages, Erasmus, PON or PCTO.
- Promoting and selling additional services (e.g. insurance, excursions, group leader assistance).
- Communication and Sales Support
- Maintaining clear communication with sales agents, program managers, and management teams to ensure project alignment.
- Managing client communications via email and phone, providing timely, clear, and effective responses.
- Assisting Travel Agencies and direct clients via inbound calls with a strong focus on conversion.

Requirements
- Minimum 2 years of experience in managing bookings in travel agencies or international programs.
- Upper-intermediate level of English (B2+ or above) – the recruitment process will be in English.
- Experience using the MEPA platform and knowledge of the Italian public school procurement system.
- Familiarity with educational programs such as PON and PCTO.
- Excellent communication, organizational, and customer service skills.
