Responsible for Transfer Services, Restricted Processing, Security Replacement and Asset Recovery within operations. Facilitate day to day management as well as process improvements to mitigate risks and enhance efficiency. Liaise with others of the leadership team to implement corporate strategy and initiatives for budget performance.

ESSENTIAL DUTIES & RESPONSIBILITIES

  1. Ensure all key daily duties are performed timely and accurately
  2. Ensure procedures are updated to mitigate process risks
  3. Collaborate with other managers to ensure operational process efficiency
  4. Resolve escalated issues submitted to Executive Management and Regulatory Agencies
  5. Responsible for Departmental review for Internal and External Auditors
  6. Ensure Key Performance Metrics are provided to Compliance Department
  7. Review and sanction Legal Opinions and liaise with AST Legal Counsel for approvals
  8. Monitor internal and external public distributions lists for departmental processing
  9. Provide financial reporting to external vendors for Insurance revenue

SUPERVISORY DUTIES & RESPONSIBILITIES

  1. Create and manage team schedules; maintain timekeeping
  2. Set goals for performance and deadlines and communicate them to subordinates
  3. Monitor and evaluate employee performance and provide constructive feedback, coaching and development
  4. Provide input on rewards and promotions based on performance
  5. Receive complaints and resolve employee issues and disputes
  6. Pass on information from upper management to employees and vice versa
  7. Prepare and submit management reports reflecting staff productivity
  8. Responsible for Risk Assessments for departments managed
  9. Responsible for Business Continuity planning for departments managed
  10. Cross train staff and perform additional training with stakeholders as needed
  11. Manage compliance and risk for functions performed within areas managed
  12. Monitor performance reports to ensure accuracy of transactions performed by departments managed
  13. Ensure adherence to legal, regulatory and company policies and procedures and undertake disciplinary actions if the need arise

WORK ENVIRONMENT AND PHYSICAL DEMANDS

  1. Essential functions are typically performed in an office setting but may also be performed remotely
  2. Noise level is medium
  3. Able to endure prolonged seating associated with the performance of essential functions.

POSITION REQUIREMENTS

  1. College Degree required and 7 to 10 years’ experience in Financial Services Operation Management
  2. 7+ years’ leading a team of 15 or more exempt & non-exempt employees
  3. Knowledge of Transfer Agent operational processes, reconciliations and SEC regulations.
  4. Intermediate proficiency with Microsoft Word, Excel and basic knowledge of PowerPoint
  5. Strong time management, program management and prioritization skills
  6. Strong decision making and problem solving skills
  7. 7+ years’ experience with Transfer Agent industry
  8. Extensive knowledge of all STA, FINRA, DFS and SEC regulations
  9. Extensive knowledge of All AST applications: Mainframe, Document Tracking, OnBase, AST Cares and Ace Program
