Job description

Job Responsibilities

  1. Oversee and manage the day-to-day operations of the company's facilities and office premises.

  2. Develop and implement policies and procedures related to general office administration.

  3. Manage and maintain office supplies, equipment, and inventory.

  4. Manage transport for staff/guest/others requests.

  5. Provide assistance to any special transportation requests from department managers or employees by deploying suitable drivers.

  6. Ensure all jobs allocated to the drivers are carried out on time.

  7. Manage and prepare duty rosters and track driver movements, controlling driver overtime.

  8. Check all relevant registers maintained by the drivers.

  9. Manage relevant licenses and permits, car tax, and car insurances.

  10. Coordinate, organize, and support company events, meetings, and conferences.

  11. Handle travel arrangements and accommodation for employees.

  12. Assist in the recruitment and onboarding process of new employees.

  13. Manage and maintain relationships with vendors, suppliers, and service providers.

  14. Ensure compliance with health and safety regulations in the workplace.

  15. Assist in budget planning and expense management for general affairs activities.

  16. Assist internal audit for the canteen and provide the audit requirements.

  17. Perform day-to-day general office clerical duties such as typing, filing, data entry, and delivery of documents.

  18. Maintain and update stationery requests in the time-soft system and Excel spreadsheet.

  19. Facilitate internal department communication.

  20. Maintain office housekeeping activities.

  21. Update details on dormitories and company accommodation inventory.

  22. Supervise and arrange maintenance of dormitory facilities for employees, both expatriates and locals.

  23. Perform any other ad-hoc duties as required.

  24. Dispatch and collect urgent items.

  25. Follow the safety rules and regulations as per the Occupational Health & Safety Policy and Environmental Policy.

Minimum Requirements

  1. Ideal candidate should be a degree holder.

  2. Good command of English, both written and verbal.

  3. Minimum 5 years of working experience in handling general services.

  4. Superior personal standards of professionalism and integrity.

  5. Good analytical thinking and problem-solving skills.

  6. Able to work under pressure with tight deadlines.

  7. Good communication skills.

  8. Proficient in MS Office applications.
