Sales Order Management: Oversee the entire sales process from Purchase Order (PO) to payment collection, ensuring accuracy and efficiency.
Order Processing & Documentation: Ensure all sales orders are processed correctly and submit custom clearance documents to customers on time.
ERP System Management: Manage Sales Contracts (SC), invoicing, and process transactions in the ERP system as needed.
Communication & Reporting: Maintain timely communication with Headquarters regarding order updates while providing the required analysis reports.
Issue Resolution: Collaborate with logistics, finance, and warehouse teams to resolve challenges related to order processing, delivery, and payment collection.
Inventory & Material Control: Maintain accurate stock records for all goods to support smooth order fulfillment.
Create PRs based on the sales plan and verify material availability before requesting purchases.
Ensure PR requests align with material stock levels and customer demands.
Work closely with the procurement team to ensure timely purchasing and availability of materials.
Monitor PR approvals and follow up on the procurement process to avoid delays.
Shipment Tracking: Timely track raw materials and finished goods shipments to ensure on-time delivery.
Coordinate with logistics and suppliers to resolve any shipping delays or discrepancies.
Maintain an updated shipment status report for internal tracking and customer communication.
Requirements:
Bachelor’s degree in Business Administration, Supply Chain Management, Engineering, or a related field.
Minimum 3-5 years of experience in sales support, order processing, or procurement, preferably in the spare parts, machinery, paper industry or trading company.
Experience working with ERP systems (SAP, Oracle, or similar) for sales and inventory management.
Strong knowledge of sales operations from purchase order to payment collection.
Experience in purchase requisition (PR) management, material control, and inventory tracking.
Proficiency in Microsoft Office (Excel, Word, PowerPoint) for data analysis and reporting.
Strong communication and coordination skills to work effectively with customers, headquarters, and internal teams.
Ability to work under pressure, prioritize tasks, and meet deadlines.
Fluent in English (both written and spoken).
Familiarity with supply chain and procurement processes.
