Job Summary

The Reservation Officer is the first point of contact for guests at Labyrinth Residence, responsible for delivering exceptional customer service, managing reservations, handling inquiries, and ensuring smooth day-to-day operations at the front desk. Additionally, the Receptionist supports operational administration tasks, including staff scheduling, inventory management, purchase order creation, and guest billing and payment processes. The ideal candidate is organized, personable, and thrives in a dynamic hospitality environment.

Key Responsibilities

Guest Services

  • Greet and welcome guests upon arrival with a warm and professional demeanor.
  • Check guests in and out efficiently, ensuring all procedures are followed.
  • Provide accurate information about the Residence’s facilities, services, and local attractions.
  • Address and resolve guest inquiries, concerns, and complaints promptly and professionally.

Reservation Management

  • Manage bookings via phone, email, or online platforms, ensuring accuracy in room assignments and guest details.
  • Update reservation systems regularly to reflect availability and changes.
  • Communicate special guest requests to the relevant departments.

Guest Billing and Payment

  • Handle guest billing processes, ensuring all charges are accurate and properly documented.
  • Process payments, including cash, credit cards, and online transactions.
  • Issue receipts and invoices to guests promptly.
  • Resolve billing discrepancies and provide clear explanations to guests as needed.
  • Maintain financial records in compliance with company policies and procedures.

Administrative Duties

  • Handle front desk correspondence, including emails, phone calls, and messages.
  • Maintain guest records and perform data entry with a high level of accuracy.
  • Prepare daily reports, including occupancy rates, check-ins, and check-outs.
  • Assist in staff scheduling to ensure operational efficiency.
  • Create and process purchase orders for operational needs.
  • Monitor and maintain inventory, ensuring stock levels meet operational requirements.

Operational Support

  • Liaise with housekeeping and maintenance teams to ensure rooms are ready for incoming guests.
  • Monitor lobby and front desk areas to maintain cleanliness and organization.
  • Assist in planning and coordinating events or activities for guests.

Safety & Compliance

  • Adhere to safety and security procedures at all times.
  • Manage lost and found items, ensuring proper documentation and storage.
  • Ensure compliance with all company policies and hospitality standards.

Requirements

Qualifications

  • High school diploma or equivalent (Hospitality-related certification is a plus).
  • Proven experience as a receptionist, front desk officer, or similar role in hospitality.

Skills

  • Excellent communication and interpersonal skills.
  • Proficiency in English (additional languages are a plus).
  • Strong organizational and multitasking abilities.
  • Familiarity with reservation management software, billing systems, and MS Office Suite.
  • Knowledge of inventory and purchase order systems is a plus.
  • Problem-solving skills and attention to detail.
