Job description

ACS Bali is looking for a friendly, organized, and proactive Receptionist to be the first point of contact for students, parents, and visitors. This role also includes responsibilities for basic first aid, general administrative tasks, and ensuring the smooth day-to-day functioning of the school. The ideal candidate will have strong communication skills, a welcoming demeanour, and the ability to multitask in a dynamic school environment.

Key Responsibilities:

Reception & Front Desk Management:

  • Greet and assist students, parents, staff, and visitors with a warm and professional manner.
  • Handle incoming calls, emails, and inquiries efficiently and direct them to the appropriate departments.
  • Manage visitor registration and security procedures.
  • Maintain an organized and welcoming reception area.

First Aid & Health Support:

  • Provide basic first aid assistance to students and staff as needed.
  • Maintain and restock first aid kits and medical supplies.
  • Record and report health incidents to relevant staff and parents.
  • Coordinate with healthcare professionals or emergency services when required.

General Administrative Support:

  • Be responsible for the school ‘Inquiries’ email box, processing all emails to the correct person quickly and efficiently, and responding to emails professionally and accurately.
  • Assist with student attendance tracking and record-keeping.
  • Support administrative tasks such as filing, scheduling, and data entry.
  • Help coordinate school events, meetings, and communication with parents.
  • Distribute school newsletters, notices, and general correspondence.

General Duties & Support:

  • Provide support for school activities, open days, and special events.
  • Undertake administrative duties assigned by the school administration.

Qualifications & Requirements:

  • Tertiary diploma or degree; additional administrative or medical training is a plus.
  • Previous experience in a receptionist, administrative, or school support role preferred.
  • First aid certification (or willingness to obtain one upon hiring).
  • Strong interpersonal skills.
  • Excellent communication skills in both Bahasa Indonesia and English, and ability to work collaboratively in a multicultural environment.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and office management software.
  • Ability to handle multiple tasks efficiently and professionally in a busy school environment.
  • A friendly and approachable personality with a customer-service mindset.
