Job description
  • To coordinate and communicate on all tenancy administrative processes including liaising with related solicitors, insurance agents, authorities and within internal department.
  • In charge of documentation in terms of filling, maintaining, updating and tenancy information.
  • To assist with on-site inspection of Company Properties as required or as instructed.
  • To liaise with relevant local authorities as and when required (to manage and monitor proper payment of quit rent, assessment bills, or obtain local authorities' approval where required).
  • Preparation of documents relating to tenancy for both new outlets and renewal of existing tenancies - reminder letters, tenancy renewal notifications to the Landlord for expiring tenancies, expiry/termination letters etc.
  • Renewal Management and ensure that renewal letters/tenancy agreements are duly signed within the stipulated time frame, basic negotiation with the landlord on the renewals, relocation, closure and operational matters.
  • Functions include tenancy data management, data entry for new site acquisition and existing properties, tenancy and rental administration, negotiation and follow-up with the landlords on the finalisation of agreements and payment-related matters.
  • Monitor rent payments to ensure adherence to deadlines and promptly address any deviations.
  • Responsible for the acquisition, disposal, tenancy, maintenance and repair of all real estate owned by the Company.
  • Liaise with all relevant parties in all matters related to property management.
  • Maintain proper records on Company Properties' rental collection, maintenance records, expense management and correspondence with all relevant parties in relation to Company Properties.
  • To assist in performing any relevant ad hoc tasks as assigned.

Job Requirements:

  • Possess at least a Bachelor's Degree / Diploma in Business Studies / Administration / Property Management or equivalent.
  • At least 3 years of working experience in tenancy administration, retail property management or similar.
  • Knowledgeable in legal terms and leasing administration skills.
  • Good communication and writing skills in English & Bahasa Malaysia.
  • Competent with using MS Excel, Word, and PowerPoint.
