Job description

Job Responsibilities

  • Manage the Director’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and organize documents, reports, and presentations.
  • Handle email correspondence, draft responses, and follow up on pending matters.
  • Maintain filing systems and ensure the organization of digital and physical records.

Administrative Support

  • Manage the Director’s calendar, including scheduling meetings, appointments, and travel arrangements.

Communication and Liaison

  • Act as the first point of contact for the Director, managing inquiries and screening calls.
  • Liaise with internal teams, clients, vendors, and stakeholders on behalf of the Director.
  • Facilitate clear and effective communication within the internal departments.

Project Coordination

  • Monitor project timelines and ensure deadlines are met.
  • Provide logistical support for team meetings, including preparation of agendas and follow-up on action items.

Personal Assistance

  • Manage personal tasks for the Director, such as appointments and travel arrangements.
  • Handle sensitive and confidential information with discretion.

Job Requirements

  • Candidates must possess at least a Degree.
  • Proven experience as a Personal Assistant, Executive Assistant, or similar role.
  • Able to communicate in Mandarin, English, and Bahasa Malaysia.
  • Able to travel/outstation occasionally.
  • Basic photography skills are required.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software.
  • Excellent organizational and multitasking skills with the ability to prioritize effectively.
  • Outstanding written and verbal communication skills.
  • A proactive approach with problem-solving capabilities.
  • High level of discretion and professionalism.
  • Applicants must be willing to work in Iskandar Puteri, Johor, Malaysia.
