Office Worker (Stock controller, secretary, Customer Service & Quality Control)

We are seeking a highly organized, proactive, and detail-oriented individual to join our team as an Office Worker. This versatile role will support various functions within our office, including administrative tasks, stock management, secretarial duties, customer support, and quality control. The ideal candidate will have a strong multitasking ability and be comfortable working in a fast-paced environment while ensuring smooth office operations.

Key Responsibilities:

Admin Stock Management:

  • Maintain and organize office supplies and inventory.
  • Track stock levels, place orders, and ensure timely delivery of office materials.
  • Keep accurate records of stock usage and assist in budgeting for office supplies.
  • Coordinate with vendors and suppliers to ensure timely restocking of materials.

Secretary:

  • Answer phone calls, emails, and other inquiries, ensuring professional communication with clients and staff.
  • Schedule and coordinate meetings, appointments, and events for senior staff members.
  • Organize and maintain office filing systems, both electronic and paper-based.
  • Prepare and proofread correspondence, reports, and presentations as needed.
  • Handle confidential information with discretion and professionalism.

Customer Support:

  • Provide exceptional customer service through phone, email, and in-person interactions.
  • Resolve customer inquiries, concerns, and complaints in a professional and timely manner.
  • Process customer orders and track the status of deliveries.
  • Collaborate with other departments to ensure customer satisfaction and smooth service delivery.
  • Assist in maintaining customer databases and records.

Quality Control:

  • Assist in ensuring that products or services meet company standards and customer expectations.
  • Conduct regular quality checks on products, services, or processes.
  • Document and report any issues or defects to the relevant departments for corrective action.
  • Help implement improvements to processes and systems to ensure consistent quality.
  • Assist in training staff on quality control procedures and best practices.

Key Requirements:

  • Proven experience in office administration, customer service, or a similar role.
  • Strong organizational skills and the ability to multitask efficiently.
  • Excellent written and verbal communication skills in English.
  • Attention to detail and a commitment to accuracy.
  • Ability to manage time effectively and prioritize tasks.
  • Proficiency in MS Office (Word, Excel, PowerPoint, etc.).
  • Experience with customer support or quality control is a plus.
  • Strong problem-solving skills and a proactive approach.
  • A high school diploma or equivalent; additional certifications in office management or customer service are a plus.
