Contractual Compliance Auditing
Obtain necessary management templates and guidelines from JLL, attend required meetings and trainings provided and ensure the implementation of these guidelines where applicable on site.
Undertake regular rotating compliance audits OPS AIDE (minimum once a year) to ensure operations teams and contractors are meeting all contractual responsibilities.
Actively assist all building management staff in achieving contractual compliance through regular on site meetings and teleconferences.
Lease Management
Develop relationships with prospective tenants through business networking and maintain relationships with existing tenants.
Together with the marketing team, develop leasing strategy and rent pricing to optimize potential revenue for the Client.
Effectively and professionally negotiate lease terms and conditions for commercial area.
Administer lease agreements.
Maintain effective lease administration records and files.
Operations Management
Develop and ensure implementation of a lifecycle program for all engineering equipments in the premises.
Manage and organize all engineering activities are properly implemented to meet and satisfy both Client and tenants.
Advise on the options available regarding any maintenance or upkeep work that is the responsibility of Client and implement the client’s preferred option in the most efficient and cost effective manner and within the agreed timeframe.
Prepare annual business plan and present it to client for approval.
Ensure proper management of building finance and accounting activities.
Maintain good relationship with tenants, handle and solve their complaint effectively and efficiently.
Create and monitor the implementation of all Operations on-site, including security, cleaning, landscaping and the provision of back of house services e.g. Rubbish removal, loading dock and site access control.
Develop and monitor a service delivery program, which coordinates the activity of all vendors / contractors appointed by Client and those appointed by tenants on-site.
In conjunction with the appointed Security Consultant and manned security vendor, create and monitor a site Security Operations Manual, which protects the interests of the client and provides a safe environment for all customers and employees on site.
Consult with Client in the planning and implementation of inspection and reporting procedures, to maintain the standard of services on-site at a level which exceeds the client’s expectations.
Manage the Operations team to address and rectify any defects or issues identified as below the acceptable standard and verify that rectification is effected in accordance with Client’s expectations and obligations.
Manage the team to undertake regular and periodic inspections to determine if any repair/replacement works are required and follow up.
Risk Management
Assist Building Management Team to develop/update a Disaster Recovery Plan (DRP) / Business Continuity Plan (BCP) for The Estate.
Ensure all related Building Management Team participate in DRP/BCP drills and exercises and in actual DRP/BCP process. Liaise with the Building Management team to schedule and coordinate internal BCP testing as required including the development of test plans, conducting pre and post-test meetings, identifying test participants and addressing logistic concerns e.g. food, transportation, evacuation, etc.
Manage the Operations Team in identifying critical operation issues within the premises.
Develop guidelines and strategies to protect health and safety of staff, customers, visitors and others, as well as maintaining the Estate, Client’s and JLL’s reputation, and verify business continuity. This will include the development of first aid and life saving skills within the management and contractor teams, as necessary.
Manage the team to develop and maintain updated plans and manual for the following: Fire and emergency evacuation drills.
Bomb threats.
Business continuity planning (including disaster logistics support).
Manage the team to:
Archive/off site storage of vital records (hardcopy or magnetic media) and maintain copies of up-to-date records.
Coordinate with vendors to verify emergency services can be acquired within the required timeframe for business recovery.
Provide resources and IT backup for the existing team.
Verify that The Estate’s alternative sites are maintained at an appropriate level of readiness.
Verify that Client carries out the tasks above if it is its responsibility.
Client Service Delivery
Ensure consistent service delivery at all times.
Undertake service delivery quarterly gap analysis, and provide assistance to regional staff to facilitate prompt rectification to remedy any service delivery deficiencies identified.
Conduct monthly, minute Operations management telephone meetings, including regional staff as necessary.
Coordinate the building management team to deliver all services in accordance with The Estate internal minimum standards.
Staff Training
Develop and deliver training programs on a quarterly basis or as planned to ensure all procedures are consistently being followed.
Develop Policy Statements to ensure consistent service delivery and adherence to all contractual and legislative responsibilities.
Provide specialist advice on Operational issues to staff, contract staff and the client when required.
Reporting: Prepare and present an accurate and update monthly report to the client
Manage regular and timely reporting on security, cleaning, landscaping, hygiene, pest control, maintenance, risk management and compliance issues.
Assist in the provision of reports on the quality of services provided by service providers, service levels and cost performance indicators to industry benchmarks.
