Job description

A boutique luxury travel agency specialising in experiential and cultural trips throughout Indonesia for the discerning high-end traveler is looking for an Itinerary Coordinator to join their team.

The ideal candidate for the position is an organised and detail-oriented professional with a strong passion for travel and a deep understanding of the tourism industry. They should possess excellent communication skills, enabling them to collaborate effectively with clients, suppliers, and team members to create personalised and memorable travel experiences. The candidate must be proficient in itinerary planning, with the ability to research and recommend destinations, accommodations, and activities that align with clients' preferences and budgets.

  • A professional background in hospitality, events, travel, or a related field, showcasing a commitment to excellent service.
  • A desire to build a long-term career in the travel industry, with a willingness to engage in professional development opportunities.
  • A strong love of travel and cultural curiosity, with a genuine interest in exploring diverse destinations.
  • Proven ability to demonstrate creativity, imagination, resourcefulness, and initiative in designing unique travel itineraries.
  • Exceptional attention to detail and a thorough understanding of the minutiae involved in trip planning, ensuring all aspects are meticulously organised.
  • Talented in understanding client needs, solving problems, and finding innovative solutions swiftly and effectively.
  • Excellent verbal and written communication skills in both English and Spanish, enabling clear interaction with partners and high-end clients.
  • Willingness to work hard, support the team, and set a positive example for others, contributing to a collaborative work environment.
  • Good knowledge of Microsoft Office Suite, with the ability to use these tools effectively in trip planning and communication.
  • An energetic and proactive mindset, with a strong desire to identify and present solutions that exceed client expectations.

Responsibilities:

  • Ability to develop strong relationships, establish credibility, and build trust with clients and colleagues.
  • Demonstrated competence and composure when managing trip costs and budgets, ensuring accurate and reliable pricing.
  • Work hand in hand with a Travel Designer in the team, by assisting with all operations and coordination of trips from quote to confirmation, customer service, on-the-ground support, and follow up.
  • Communicate with suppliers all around Indonesia to ensure they provide services in line with company guidelines.
  • Take ownership of quotes, ensure that all data is correct and ensure for always offering clients quality and value.
  • Confirm hotels, tours, activities, experiences, transportation, and other travel and concierge services.
  • Maintain accurate and up-to-date information on all confirmed services.
  • Finalise detailed itineraries, ensuring all information and documentation is correct and presented in our voice.
  • Assist in other back-up tasks as required.
  • Possibly in the future, take charge of the company emergency phone number on a rotational basis.
