Job description

Role: (Senior) IT Project Coordinator and Crewing Executive

Duration: 12 months (renewable)

Hours: Mon - Fri, 9am - 6pm

Location: Changi Business Park

Salary: Up to 3.8k (Junior) Up to $5k (Senior)

General Responsibilities:

  • Maintain and update the Resource Allocation Calendar, factoring in project timelines, internal resource needs, Timesheets and leave schedules.
  • Track and provide updates on Time Off In Lieu (TOIL) entitlements for crew personnel on a monthly basis.
  • Maintain an updated resource database on Excel and internal systems, including both in-house and freelance professionals, covering roles, technical expertise, performance metrics, rate structures, responsiveness, and reliability.
  • Perform other ad-hoc IT resource coordination tasks as required.

Project Coordination Responsibilities:

  • Gather project requirements, including project location, required roles, duration, freelance rates, and any additional specifications.
  • Work closely with project and technical managers to assess skillset requirements and ensure appropriate IT and broadcast personnel assignments.
  • Schedule and assign project teams, optimizing the use of in-house and freelance professionals.
  • For freelancers: Negotiate fees, manage contracts, ensure compliance with company policies, and set clear expectations.
  • Arrange and oversee logistics, including per diems, visa applications, travel arrangements, accommodations, and transportation.
  • Develop contingency plans to mitigate unexpected disruptions, such as last-minute cancellations or resource shortages.
  • Act as the main point of contact for resource-related communications, including logistical support and personnel welfare.
  • Assist in backfill of engineers due to emergencies or unforeseen circumstances.
  • Support project closeout activities, including workforce performance evaluation, project documentation, and final reporting.
  • Integrate performance evaluation data into the resource management database to enhance future workforce planning.
  • Analyze project financials, including freelancer fees, logistics costs, and per diems, and report irregularities or cost overruns to management.
  • Verify and process freelancer invoices for accurate billing and reconciliation.
  • Assist in processing reimbursements for in-house personnel on project-related expenses.

Position Requirements:

  • A qualification in Information Technology, Business, Project Management, Broadcast or a related field.
  • Minimum of 2 years’ experience in resource coordination, project planning, or workforce management (preferably in IT, technical services, or media industries).
  • Strong client relationship and stakeholder management skills.
  • Excellent organizational, communication, and project management abilities.
  • Ability to multi-task in a fast-paced and high-performance environment.
  • High attention to detail, especially in scheduling, financial tracking, and contract management.
  • Strong negotiation and problem-solving skills.
  • Proficiency in Microsoft Office Suite, with intermediate to advanced Excel skills (e.g., Pivot Tables, VLOOKUP, and financial reporting).
  • Familiar with technical resource management, preferably within the IT, broadcasting, or technical services industries.
