Coordinate, Implement and Ensure that General Affairs functions including CSR, Legal, General Service and public facilities in the Company run well in the Refinery Unit in supporting refinery operational activities.
Job Description:
Support all office operational activities by procuring all work equipment (such as stationery, computers, work desks/chairs, AC, etc.), as well as other supporting facilities (such as operational vehicles, office boys, telephone operators, etc.) quickly, accurately/quality and in accordance with the specified budget.
Analyze budget needs for the procurement and maintenance of all facilities and supporting facilities for office activities to then be submitted to the company's finance and management divisions for budgeting and approval.
Carry out maintenance activities for all facilities and supporting facilities, as well as carry out the replacement process for damaged supporting facilities/facilities.
Build relationships with vendors or suppliers of goods and services for office facilities/infrastructure and assist in handling complaints from vendors/suppliers including follow-up on handling payment notes/invoices and work contracts with related parties.
Create, run and develop work systems/procedures for the procurement and maintenance of supporting work facilities.
Conduct a survey of the level of satisfaction with the services provided to all employees/units in the company for the purpose of improving the quality, accuracy and speed of the services provided.
Prepare monthly reports for budget meetings, financial reports on assets and office expenses.
Responsible for coordinating and monitoring the implementation of general services and administration services related to the environment, facilities and work needs of employees to support the smooth running of employee work activities.
Responsible for the implementation of internal and external security operations in the company area and its surroundings.
Responsible for coordinating the preparation of correspondence both internally and externally including permits and Permit Extension Letters to levies; Building permits, HO permits, Genset permits, Forklift permits, Radio permits, speedboat and operator permits, STNK extensions, and Motor Vehicle Tax.
Responsible for the preparation of SPK for car repairs & office equipment and monthly stationery checks including requests for office equipment needed by employees.
Responsible for checking bills to be paid before making payment "vouchers" by Finance & Accounting Dept.
Responsible for entering data into the SAP system; repairing office equipment, vehicles, creating PR for purchasing stationery or assets to Good Receipt (GR).
Responsible for reporting and managing car accident insurance claims if any.
Responsible for maintaining and safeguarding all work equipment and cleanliness of the work location.
Establishing good relationships with related departments to assist in solving problems faced.
Making periodic GA reports and/or making proposals for requests that are of a policy-changing or new nature.
Coordinating the GA team to achieve their respective KPIs.
Reporting problems that occur, related to the Food / Feed Safety Management System (if any) to the Food / Feed Safety Coordinator.

Job Requirement:
Min Bachelor Degree in Management or equivalent.
Having min 4 years of working experience as GA Section Head.
Good in communication skill and analytical thinking.
Willing to be located in Tarjun Refinery (South Kalimantan).
