Plan International is an independent development and humanitarian organization that advances children’s rights and equality for girls. In Indonesia, Plan International operates since 1969, and in 2017 Yayasan Plan International Indonesia (YPII) was established as a national entity of Plan International in Indonesia. YPII is currently implementing its Country Strategy 5 (CS 5) covering the fiscal year 2023 to 2027, where the country’s purpose is in line with the global Plan International’s Purpose “to advance children’s rights and equality for girls”. Our ambition is to enable at least 3 million girls and young women to learn (gain skills for work), lead (empower to take action on issues that matter to them), decide (have control over their own lives and bodies), and thrive (grow healthy and protected from violence). This goal will be achieved by implementing quality programmes and projects as well as influencing decision-makers and key stakeholders to make the required changes.

The Opportunity

The PIA (Program Implementation Area) Manager will be responsible to oversee child sponsorship aspect and sponsorship communication projects across Yayasan Plan International Indonesia. This primarily includes ensuring all communication products can be delivered on time in accordance to global child sponsorship standards, procedures, and compliance. He/she will also establish effective relationships between sponsored children, families, communities, and donors; including the effective management of all sponsorship communications to ensure sustainability of Yayasan Plan International Indonesia sponsorship activities.

Accountabilities for The Role

  1. Responsible to maintain high quality in all aspects of child sponsorship to ensure all nine Plan commitments are implemented, gained, monitored and evaluated well on a PIA wide basis.
  2. Ensure all communication products can be delivered on time in accordance to global child sponsorship standards, procedures, and compliance.
  3. Ensure information is provided to and by project team so that all sponsor families benefit from Plan’s activities at least once a year.
  4. Work in collaboration with other departments within the organization in order to maximize the accountability of sponsorship efforts.
  5. Support the Project Implementation Areas to ensure that growth, phase-in & phase-out are effectively managed and met.
  6. Develop and monitor communication interaction with NO (National Office) within agreed timelines to ensure customer satisfaction and make sure all the information required is delivered immediately.
  7. Support the marketing administration process which relates to organization images to ensure the availability of marketing support for sponsorship activities.
  8. Monitor sponsorship process administration in Program Implementation Areas to ensure that sponsorship processes are aligned with the standards and procedures of Plan International.
  9. Develop reports to the regional office and Country Leadership Team (CLT) as the basis of strategic decision making and improvement in order to create networks to support sponsorship efforts, sharing best practices of Yayasan Plan International Indonesia on a national, regional, and country-wide basis.
  10. Ensure all project activities funded by sponsorship and/or grant are well implemented in PIA working area.
  11. Responsible to deliver effective team and performance management.
  12. Demonstrate common understanding and vision about the program by all team members along with clear line of sight and structured communication.
  13. Distribute responsibilities among the team members in a balanced way to ensure quality outputs and support provided in terms of regular feedback, coaching, and mentoring to develop professional capacity and performance of the team.

Dealing with Problems

  1. Takes full accountability for performance and value-for-money within their team. Ensures team capacity to deliver quality against strategic priorities, and guides their team to develop solutions for anticipated problems.
  2. Facilitates negotiations with different partner organizations at district level, consultants and donor agencies in the event of arising conflict and solicits resolution through a win-win situation protecting Plan’s interests and image.
  3. Engages with donors and represents the organization in a professional manner which reflects positively on Plan as an organization.
  4. Develops/establishes protocols/processes on MER aspects to translate strategies into deliverables at implementation level to ensure common understanding on the issue across the organization.
  5. Ensures staff who are directly supervised can apply YPII Safeguarding principles and standards in every process of planning, implementation, documentation, monitoring, evaluation, and reporting in programs/projects.
  6. Visible and committed leadership to building professionalism, a culture of protection, and prevention of violence originating from the behavior of staff and partners, as well as conducting regular evaluations through Annual Appraisal related to safeguarding to staff who are directly supervised.
  7. Ensure that every implementation partner, vendor/consultant, and project stakeholder has received safeguarding induction/training and signed an agreement to implement and comply with the Safeguarding policy.
  8. Conduct regular evaluations related to the implementation of safeguarding within the scope of programs that involve staff, children, and program participants in a participatory way.
  9. Ensure supervised staff completed Safeguarding face-to-face induction and/or training and refresher and through the Plan Academy platform and carry out timely recertification.

Requirements for The Role:

Experience and Knowledge

  1. Bachelor Degree in Development Management, Social Science, Development Economics, or related field such as Management, International Relations, Public Administration or equivalent.
  2. Minimum 5 years of work experience in the child sponsorship sector.
  3. Minimum of 2 years of field work with children and communities.
  4. Demonstrated strong management, coordination, teamwork, and planning skills with proven ability to function effectively in an NGO sector.
  5. Ability to work in a complex environment with multiple tasks, short deadlines, and intense pressure to perform.
  6. Fluent in written and spoken English.
  7. Excellent facilitation, oral, and written communications skills.
  8. Ability to travel nationally and internationally.
  9. Willing to be located based in Nagakeo.

Location: The post holder will be based in Nagakeo, Nusa Tenggara Timur. It is important to note that YPII currently applies a mix of Working from Home and Working from Office arrangements.

Reports to: Straight line to Program Area Manager.
