CUSTOMER SERVICE REPRESENTATIVE

Our team in South Jakarta currently has an opening for a Customer Service Representative


YOUR ROLE & RESPONSIBILITIES

  • Create Order Confirmations based on customer purchase orders, which are then signed by the Business Manager and/or the Commercial staff.
  • Handle customer complaints and provide solutions to arising issues after discussing them with the relevant Commercial staff or other related divisions (Purchasing and Logistics or Collection).
  • Create Delivery Orders as a reference for the warehouse to ship goods.
  • Issue commercial invoices in the SAP system and provide the document to the finance team to be combined with the e-invoice.
  • Assist Finance team in communicating outstanding customer payments (if needed, to help follow up on delayed shipments due to aging payments).
  • Inform the Commercial team if sales fall below PT. Brenntag's minimum order value of€150 each of order line item.
  • Follow up/update price conditions from the commercial team as mandatory information in the SAP system.
  • Process Samples for releasing commercial stock to the lab or customer.
  • Create credit notes in the SAP system and forward the document to the finance team.
  • Handle and process returns/exchanges of materials in the SAP system, and communicate the process to the warehouse team for follow-up.
  • Manage manual archives of all documents: SO, DO, Billing, PO, CN, Returns.
  • Create indent sales in the SAP system: receive orders from MSO, process SO-DO-Billing, and generate indent reports based on commissions received from suppliers.
  • Perform work according to procedures outlined in ISO 9001:2015, ISO 14001:2015, and OHSAS 18001:2007.
  • Implement HSE regulations applicable in the company.

YOUR PROFILE

  • Minimum Education : Associate Degree (in any field)
  • Minimum Training : Customer Service/Service Excellence
  • Minimum Experience : Sales Administration Staff, Customer Service
  • Other Skills : Ms. Office, SAP, Fluent in English, Time Management, Problem-Solving
