UKCEH is seeking an experienced Workplace Administration Coordinator to join our Workplace Central Admin Team.

You will support the Workplace Manager in delivering efficient workplace services and administrative support across four UKCEH sites, ideally based near Bangor or Wallingford. The role involves coordinating a team responsible for maintaining high-quality, safe, and clean buildings. You’ll help deliver a range of facilities services—including maintenance, catering, and vehicle management—while working closely with stakeholders to ensure excellent customer service. This role is part of a leading not-for-profit research institute that supports career development.

Your main responsibilities will include:
  • Provide guidance and training on the Workday system, acting as a first point of contact for queries and escalation, to enable effective budget management.
  • Supporting and supervising a team of administrative and maintenance support staff, to ensure the effective coordination and delivery of day-to-day tasks.
  • Collate and present performance data as required, to support wider decision making and assessment of progress towards key team goals.
  • Coordinating Health & Safety compliance across all four sites, including contractor management documentation.
  • Play an active role in the setup, initialisation and training of Workplace systems such as CAFM systems, room booking systems and safety audit systems.
For the role of Workplace Administration Coordinator, we’re looking for somebody who has:
  • Intermediate to advanced computer skills, knowledge of Microsoft 365 (Word, Outlook, Excel), databases. Ideally, we would like someone who has comprehensive knowledge of CAFM systems, how to use them and is able to train others on their use.
  • Ability to supervise and coordinate a small team, supplying training where necessary.
  • Excellent customer service skills - able to communicate well in person and in writing, whilst using a collaborative and inclusive approach.
  • Knowledge of finance and procurement processes, ideally through the Workday system.
  • Ability to accurately reassess work priorities in a changing environment, work methodically and with accuracy.
  • Experience working on Reception or busy help desk – to provide occasional holiday cover - supporting employees, visitors, contractors with a variety of routines and queries, as well as switchboard, emails, post and deliveries.
Desirable Skills:
  • In-depth CAFM system knowledge or have experience of manipulating data/ using a number of CAFM systems.
  • Workday system experience.
  • Contractor management experience.
  • Data analysis skills, being able to manipulate the data to create departmental reports.
  • Strong administrative skills using Microsoft systems including Teams, Excel and PowerPoint.
  • Minute taking.
  • Be able to use own initiative to assess the needs of the team and adapt workload accordingly.
  • Able to multi-task, supporting a number of stakeholders.
  • Have strong attention to detail when looking through data.
