About The Role

The Logistics and Retail Coordinator is key in supporting the UK business and works closely with the UK Managing Director (MD). This role will be responsible for supporting UK logistics to ensure smooth logistics between HQ and the UK and between our customers/partners. In addition, this role will support retail in the UK, most importantly supporting the in-store team and day-to-day logistics in-store to help drive sales and awareness.

Location

Office, central London - Including travel to stores to support sales.

Key Responsibilities Overview:

  1. Overseeing all logistics and supply chain.
  2. Inbound / Outbound Inventory.
  3. E-comm management; external communications stock, supply chain for DTC (inbound and outbound).
  4. Processing all PO's and raising invoices in accordance.
  5. Communications with retailers on PO's, PO transactions, stock levels.
  6. Supporting MD with admin for the business (i.e NLF, PIT’s etc).
  7. Overseeing the freelance team in-store, VM and stock in store.

Inventory:

  1. Main point of contact for all logistics.
  2. Overseeing all inbound and outbound stock.
  3. Reporting and monitoring all UK stock – presenting forecast to the MD for approval.
  4. Ensuring efficient delivery from Iceland to UK DC.
  5. Processing all PO's from retailers.
  6. Managing the PO's across multiple retailer platforms – EDI, Procure etc.
  7. Managing all delivery deadlines and scheduling accordingly.
  8. Managing any short shipments of stock and working with retailers to re-raise PO’s.
  9. Ensuring invoices and PO are correct, working with retailers to correct where needed.

Financial:

  1. Reviewing stockholding MoM and reporting to the MD.
  2. Raising invoices for all PO's efficiently to account for amends to PO’s, delivery deadlines etc.
  3. Managing all invoices and ensuring they are distributed to the correct contact – ensuring the invoices to be paid are sent to the accountant.

Promotional Support:

  1. Forecasting promotional stock needs across all channels: collateral, testers, VM, deluxe sampling, sachet sampling.
  2. Reporting on all promotional stock used and reporting month on month to MD for ROI.
  3. Support retail with all NSV stock needs to be processed and sent to stores accordingly.

Retail Support:

  1. Day-to-day support of the in-store team.
  2. Ensuring all testers and VM (including promotional updates) are up to date in store.
  3. Developing and maintaining key relationships with floor managers in retailers.
  4. Support with in-store activations (with support of the MD).
  5. Supporting MD and business with ad hoc tasks.
  6. Liaising with store on inventory and stock levels, supporting with forecasting.
  7. Supporting UK events to ensure they represent the Bioeffect brand in line with brand guidelines.

Training:

  1. Ensure the freelance team and in-store BA's are trained and have samples of products.
  2. In-store training where needed across all UK retail.
  3. Liaising with retailer to arrange.
  4. Organising gratis for attendees.
  5. Updating existing staff in our own doors and 3rd party doors on NPD.

Customer Care:

  1. Replying to general enquiries and questions on our UK customer care email address.
  2. Will be supported by the MD and FAQ’s / training information etc.
