Travelling Chief of Staff

For an established CEO of several companies, we are looking for a Travelling Chief of Staff based preferably in London or Portugal (other EU countries also considered). Excellent knowledge of IT and social media use is essential. Drivers only.

The CEO lives between London and Faro, Portugal, and heads an organization consisting of several businesses in the media and marketing industry, as well as major projects in the automotive and health & wellness spaces. He is also an angel investor who has invested in multiple businesses. The support required is 60% business and 40% private/personal. This is an exciting role that seeks exceptional support in a fast-paced environment while offering engagement, responsibility, and growth within the organization.

Travel is about 40% of the time, with the rest being based remotely or the possibility to relocate completely to either Portugal or London for the right candidate. Travel is predominantly around Central Europe and Eastern Europe and can include trips to the Middle East and Africa. When travelling, the Chief of Staff is accompanied by the CEO’s travel team, including security and a stylist.

The duties of the Travelling Chief of Staff:

  • Act as the main point of contact across several companies and act as a gatekeeper.
  • Communicate between the CEO, his travel team, and the organization.
  • Extensive diary management.
  • Support the CEO in daily life (reminders, etc.).
  • Inbox management and act quickly if required.
  • Organize and book all travel (private and commercial) and accommodation (usually well in advance).
  • Travel with the CEO and his travel team.
  • Conduct research and compile industry-specific reports.
  • Create budgets and financial forecasts.
  • Manage and update social media accounts.
  • Oversee and manage projects (e.g., marketing).
  • Organize and attend large events (which include celebrity guests).
  • Prepare for and attend meetings (represent the CEO if needed).
  • Ensure accommodation meets required standards (fresh flowers, snacks, etc.).
  • Handle personal requests (personal shopping, gifts, etc.).

The requirements of the Travelling Chief of Staff:

  • A minimum of 6 years’ experience as Chief of Staff or in a senior management role in business.
  • Must be legal to work in the UK/EU (visas will be obtained if required).
  • Fluency in English is essential; other European languages (Spanish, Dutch, German) and/or Mandarin are a benefit.
  • Strong IT skills in MS & Apple, Excel, and Word.
  • Strong financial skills.
  • Experience in Photoshop, Illustrator, Canva, and managing social media.
  • Experience dealing with press media is an advantage (including TV appearances).
  • Any business acumen is welcome, including experience in writing business plans, proposals, and presentations.
  • Able to work under pressure with a mature outlook.
  • Strong organizational and communication skills.
  • Be well presented for high-profile events (clothing allowance provided if required).
  • Ability to work independently, proactively, and to a high standard.
  • Excellent written references from past employers.
  • Recent security check.

This is a varied role perfect for candidates who thrive in a busy environment while staying calm and collected. A strong sense of focus, an acute eye for detail, and flexibility are essential. There is potential to split this role to get additional support if needed. The role could be solely (and ideally) based in Portugal, including Portuguese payroll and accommodation provided, or it could be London-based (with UK payroll) but no accommodation.

Hours: Mon – Fri 9am-6pm remotely, 24/7 when travelling due to different time zones. For extra days worked, time in lieu is given (some bank holidays may need to be worked).

Salary: £100,000-120,000 gross a year depending on experience. 28 days holidays including bank holidays. Accommodation while travelling provided (staying in the same hotel as the CEO). Allowances provided for subsistence and outfits. Apple laptop and phones provided. If UK-based, a company pension scheme is included.
