Team Administrator

Location: Brighton/Hybrid (UK working only)

Contract: 12 month Fixed Term Contract

Hours: Full time, 37.5 hours per week

Salary: Circa £26,000 dependent on experience

This is a newly created role to work within a Practice to provide administrative support across the whole portfolio, working closely with the whole team to provide flexible support when it's needed.

The ability to undertake discrete tasks is essential with a wide variety of tasks and deliverables, with around 20 billable days per year so managing your time and workload pro-actively is essential.

Your responsibilities will include:

Project Support:

  1. Work in a commercially astute way to support project budget planning, forecasting and reporting through use of Itad’s project management system, managing multiple requests simultaneously.
  2. Upload project budget figures into Itad’s project management system as directed by the Project Manager or Project Officer.
  3. Be a champion for data accuracy and integrity in the Dynamics system, supporting project data reviews from bid stage through project lifecycle to close.
  4. Lead the recurring and ad-hoc collection of relevant information for client reporting as requested by project teams.
  5. Coordinate practice requests for compliance, data, safeguarding and other information on behalf of clients.
  6. Contribute to monthly sales invoices process together with the Finance Team, including supporting forward look of client billing.
  7. Work alongside the central Legal & Procurement team to support the management and payments to suppliers.
  8. Provide ad hoc support to project delivery which may include arranging project meetings, coordinating interview schedules, note taking, formatting etc.

Business Development Support:

  1. Supporting the preparation and submission of tenders (expressions of interest and proposals).
  2. Responding to client due diligence and administrative queries.
  3. Formatting CVs for inclusion in proposals.
  4. Searching for potential team members using various online tools.
  5. Compiling tailored project references and capability statements.

Practice Support:

  1. Provide general administrative support to the Practice including supporting the Practice Manager in key recurring resourcing and commercial tasks, and the Practice Partners with meeting scheduling.
  2. Provide support to other team members on data entry, management and best practice.
  3. Assist in the facilitation of Practice Meetings, managing attendance, room bookings, and actions log.
  4. Contribute to the management of operational matters (compliance, data, L&D etc) in support of project teams and line managers as requested.
  5. Collaborate with the GSS team where needed to support low-risk travel.

This is an exciting role for an experienced administrator to support all aspects of project and practice management and delivery. You will be able to pro-actively manage a highly variable workload, understand where your role sits within processes and be a clear communicator.
