Job description
Hours: Full Time (35 hours, 5 days per week), minimum 3 days per week on site, expectation of regular work at evening lectures, for which time in lieu is allowed.

Contract: Permanent

Salary: £32,000 per annum

Location: Hybrid (3 days a week in the office), Holborn, London, EC1N 2HH

Gresham College is a charity which provides high-quality free education to the public across a broad range of subjects. The College aims to stimulate a love of learning and intellectual curiosity and to champion academic rigor, professional expertise and freedom of expression.

The College is now in the final year of an exciting five-year plan which has the primary aim of increasing and broadening the audience which the College reaches. The funding for the following five years has been agreed by the College's historic sponsors and provides a firm base from which to deliver an ambitious and exciting program. The future College strategy sees us continuing to evolve our work in growing audiences in both numbers and diversity, while taking advantage of opportunities to develop income streams to stretch our ambition further.

The current academic program consists of 100 lectures for the general public as well as lectures delivered to young people in schools and a growing oracy competition for young people. Currently sixty public lectures are given by our 10 Professors; forty are curated annually; and between ten and twenty are delivered to young people in schools. The Role

As our Supporter Engagement Coordinator, you'll be an important point of contact, ensuring our audience members and supporters experience top-notch care and engagement. You'll play a critical role in our mission by coordinating events, managing communications, and supporting our vibrant community.

Key Duties And Responsibilities
  1. Deliver high-standard customer care and process all fundraising income promptly.
  2. Collaborate with the Head of Fundraising and Engagement to enhance supporter journeys, making recommendations for improvements and changes.
  3. Manage and respond to communications from audience members and supporters.
  4. Maintain and update the supporter database with accurate contact details, preferences, and Gift Aid information.
  5. Act as the first point of contact for inquiries and manage event bookings administration.
  6. Coordinate mailing activities, invitations, and database management.
  7. Import and merge data from online giving platforms and Eventbrite.
  8. Handle complaints by coordinating with complainants and relevant staff for resolution.
  9. Support the volunteer programme by updating volunteer records, coordinating paperwork and liaising regarding logistics.
  10. Report on progress against targets and KPIs as required by the Head of Fundraising and Engagement, making recommendations to address under or over performance.
  11. Coordinate venue setup for lectures and events, liaise with external organisers, and manage all event-related logistics.
  12. Oversee venue hire activities, liaise and support the Head of Fundraising & Engagement over the promotion of the Barnards Inn venue to increase income generation from lettings.
  13. Ensure compliance with data protection, GDPR, and gift aid processing regulations.
  14. Ensure timely ordering of stationery and catering supplies.
  15. Provide support to the wider team by attending lectures and special events.
  16. Act as Duty Manager when required.
  17. Some out-of-hours work is required with lieu time offered.
Person Specification
  1. Excellent communication skills (verbal and written) to handle inquiries and foster positive relationships with supporters.
  2. Strong organisational skills and time management to manage multiple tasks, events, and administrative duties efficiently.
  3. Understanding of data protection laws and GDPR compliance.
  4. Proficiency in database management and the ability to maintain accurate records.
  5. Good problem-solving skills to handle complaints and resolve issues effectively.
  6. Attention to detail for processing income and updating supporter information accurately.
  7. Experience in customer service, ensuring high standards of care and satisfaction.
  8. Previous experience in event coordination and logistics management.
  9. Familiarity with fundraising or supporter engagement platforms (such as Eventbrite or online giving platforms) (desirable).
  10. Familiarity with gift aid processing (desirable).
