Background

The International Conference on Housing, Health, and Extreme Events (8-10 April 2025, online) will bring together global experts, policymakers, and practitioners to share research, case studies, and community-led solutions. Sessions will explore preparedness, post-event recovery, and innovative approaches to making housing safer and more resilient.

Extreme weather events are becoming more frequent and intense, with devastating consequences for homes, communities, and public health. The challenge is not only responding to disasters but also building resilience through better housing and planning. The Birmingham Institute for Sustainability and Climate Action is pleased to support this important event, organised by the UK-based Healthier Housing Partnership.

We are seeking two (2) Event Coordinators to support the conference committee, session chairs and speakers with coordination of the online conference between 8 and 10 April 2025, with a pre-conference briefing on 4 April 2025.

Role Summary

We are seeking 2 enthusiastic student casual workers to support this dynamic online conference. You will provide support to the conference organising committee, which is comprised of University of Birmingham academic staff and external visitors.

Your role will involve providing administrative and organisational support, ensuring the smooth running of the event. You will also be providing assistance and co-ordination support to the session chairs and speakers during the online conference.

The conference committee and support for the event will be based in Elm House, (O9 on the campus map). IT Service support will be on-site for the duration of the conference to provide technical support.

You must be available on the following dates:

  1. Friday 4 April, For a 2 hour briefing and planning session with the event co-ordinator (time to be confirmed, this may be online).
  2. Tuesday 8 April, 9.00 - 3.00 or 11.30 - 5.30
  3. Wednesday 9 April, 8.30 - 2.30 or 11.00 - 5.00
  4. Thursday 10 April, 9.00 - 1.00 or 10.00 - 2.00

Main duties

Provide administrative and organisational support to the project team as required, including admin tasks such as:

  1. Co-ordinating and facilitating communication via email and/or other systems (for example, Teams chat), between the conference organisers and contributors.
  2. Assisting with setting up laptops, web-cameras and the like, for session chairs and contributors based in Birmingham.
  3. Proactively seeking technical assistance (from on-site support) when required.
  4. Ensuring the event flows smoothly throughout the day.
  5. Maintaining event spaces and assisting with clean-up afterwards.
  6. Reporting any issues to the event organisers.
  7. Providing general co-ordination and administrative assistance, as required, within the scope of your role, to the organising committee.

Person Specification

  1. Previous experience in co-ordinating events and/or large meetings, seminars, workshops or conferences.
  2. You must have the ability, and knowledge, to confidently and independently use Zoom, including setting-up meeting links, using appropriate meeting settings and restrictions (e.g. pass codes), as well as setting up and co-ordinating break-out rooms. Previous experience in supporting the coordination of large (50+ attendees) online conferences, webinars or similar sessions using Zoom, would be highly desirable.
  3. Positive attitude and enthusiasm.
  4. Strong communication and teamwork skills.
  5. Excellent organisational skills with the ability to multitask and manage time effectively.
  6. Adaptability and ability to work under pressure in a fast-paced environment.
  7. Willingness to take direction and assist with a variety of tasks as required.
