POSITION SUMMARY:This is very responsible inventory and stores control work at the full performance level. Employees in this position will have individual limited signature authority to expend County funds, will be issued a personal County credit card to expedite purchases, and will bear first line responsibility for inventory variances. Work involves data entry and data extraction from personal computers using a variety of software, issuance, ordering and receipt of parts and services procured from outside vendors.

CLASS DESCRIPTION:This is advanced stores work performing specific tasks essential to the successful operation of a specialized function. Work includes the performance of receiving and issuing equipment and supplies. Work is performed with general supervision from an administrative superior. Assignments require evaluative thinking and are carried out in accordance with precedents and well established policies. An employee in this class renders services for others in carrying out the assigned function. Investigates, stocks and safeguards materials and supplies of considerable value. Contacts with others are on a regular basis. Contacts may include the general public, the Division of Purchasing, the Office of Finance, and various supply vendors.
An employee in this class is responsible for the requisitioning of all supplies and materials for the supply room, for all required record keeping, for physical inventories, and for the maintenance of a perpetual inventory of all materials. The employee has considerable latitude for independent judgment working with established departmental procedures and policies under the direct general direction of an administrative or technical supervisor. - Reads, interprets and ensures that Fleet and County inventory procedures are closely followed.
- Performs data entry to the Fleet Inventory Management system including inventory receipts, disbursements, labor operations and outside procured services. Ensures that the data in the automated systems is maintained and current.
- Prepares billing, procurement, and payment source documents for entry into the Fleet Financial system.
- Prepares all material ordering documents and submits for any required approvals. Coordinates special ordering of materials with vendors. Locates obsolete or other difficult-to-locate parts using Internet or personally developed vendor and professional contacts. Receives material, checks for completeness of orders and places into inventory. Issues materials from inventory to mechanics, other shops and direct billed customers.
- Performs cycle counting and physical inventories. Investigates and resolves inventory variances.
- Maintains vehicle records, hazardous material records, and other ancillary documents as required.
- May schedule maintenance and repairs for dedicated vehicles, and serves as the primary contact between Fleet and maintenance customers.
- Issues Fleet Motor Pool vehicles to employees, schedules use, maintains user logs and documentation, and reviews vehicle condition upon return.
- Performs inventory room housekeeping, labels shelves, organizes materials and maintains security.
- May train and monitor the performance of lower level stores personnel.
SUPERVISORY RESPONSIBILITIES:May oversee the work of one employee. High School Diploma or GED and three (3) years of related experience or an equivalent combination of education and experience.
PREFERRED EDUCATION, KNOWLEDGE, SKILLS, AND ABILITIES:- Substantial current knowledge of inventory control practices and procedures.
- Substantial knowledge of motor vehicle and equipment service parts cross references and supersession.
- Demonstrated knowledge of personal computer data entry and Windows based software protocols.
- CDL Drivers License.
