We are seeking an experienced Facilities Manager to join our growing team and play a pivotal role in maintaining our new North Baddesley HQ. This facility marks a significant expansion for our company, reflecting our continued international growth.

In this role, you will oversee the smooth operation of our 10,000 sq ft office space, 3,000 sq ft customer showroom, and extensive exterior grounds, including a large car park and surrounding land. Your expertise will ensure a well-organised, efficient, and welcoming environment – both for our team and for visitors and customers.

Key Responsibilities

Facilities Management

  1. Managing Contractor and Suppliers: Responsible for sourcing, building and maintaining relationships with contractors and suppliers to keep the facility functional such as grounds contractors, cleaners, alarms and health and safety. Responsible for setting up and maintaining all utilities contracts.
  2. Organising Maintenance: Responsible for coordinating planned maintenance and reactive maintenance issues with third party contractors.
  3. Showroom Oversight: Management of the showroom ensuring it represents the brand and all demo stock is available, including management of the retail team and rota.
  4. Office and Site H&S: Working closely with our H&S provider to maintain standards within the office and carry out routine risk assessments as required. Implement and undertake routine inspections of the building and site. Work with the COO to ensure the office space is maximised and fit for future use.
  5. Reception Oversight: Overall responsibility of visitors and guests, using the Ring doorbell system we have implemented to ensure everyone who visits TentBox (whether a customer, business visitor, or someone else) has a fantastic experience.
  6. Staff Welfare Facilities: Ensure that kitchen and toilet standards are maintained and fully stocked.
  7. Budget: Manage the facilities budget to ensure spend is tracking appropriately.

Office Administration

  1. Office Equipment: Responsible for ensuring all office equipment is working smoothly, such as printers, desks. Order and Manage IT equipment.
  2. Communication: Handle phone calls, emails, and all correspondence efficiently and to the highest standard.
  3. Record Keeping: Maintain and update company records, databases, and filing systems as appropriate.
  4. Office Space: Responsible for meeting rooms and overseeing bookings and ensuring any storage space is well looked after and teams are responsible for their areas.
  5. Post: Oversee sending and receiving of post and deliveries.
  6. Company Vehicle Management: Responsibility for overseeing the upkeep, maintenance and repairs for our fleet of company vehicles and the vehicle booking system.

Ideal Candidate

The ideal candidate will have proven experience in Facilities Management or a similar role, with a hands-on and proactive approach to maintaining a high-functioning workplace. You should be personable, driven, motivated, and solutions-oriented, with the ability to anticipate needs and take initiative. A strong sense of professionalism, discretion, and accountability is essential, along with the confidence to take ownership of tasks and ensure our HQ operates efficiently at all times.

This role requires someone who is not only an effective manager but also a doer – someone who isn’t afraid to roll up their sleeves and get stuck in when needed. Whether it’s tackling a hands-on task, problem-solving on the spot, or leading by example, you’ll thrive in a fast-paced environment where no two days are the same.

  1. Proven Experience: Demonstrated track record of managing an office facility and site in a Facilities or Office Management role.
  2. Excellent People Skills: Approachable with strong verbal and written excellent communication skills, responding in a timely, professional and friendly manner. The ability to build good relationships.
  3. Adaptability and Problem-Solving Skills: Ability to thrive in a fast-paced, dynamic environment, working under own initiative, quickly addressing challenges and identifying proactive solutions.
  4. Excellent Organisational Skills: The ability to own tasks, multi-task and demonstrate logical thinking with a common sense approach. Experience of setting up efficient systems and procedures.
