Role Summary

An exciting opportunity has become available for a month position as Medical Secretary within the Microbiology Department at the Royal Devon and Exeter Hospital.

We are seeking an experienced Medical Secretary to provide a comprehensive medical secretarial and PA service to consultants and other medical staff. The post holder will manage the office administration of the ten Consultants and other medical staff.

About the Role

We are looking for someone with previous medical secretarial and administrative experience, preferably in a health care setting. They will have excellent communication, interpersonal and organisational skills and have a confident and mature approach to work.

The post holder will be expected to independently manage, undertake and prioritise a variety of administrative and clerical duties including:

  • Manage diaries for medical team, including annual leave arrangements and distribution of medical rota to laboratory teams and switchboard.
  • Deal with and appropriately direct incoming enquiries and day to day correspondence including phone calls and emails.
  • Manage patient bookings in Consultant clinics (on Epic EPR).
  • Proofing and send out letters and appointments to patients for weekly clinics (TB, penicillin de-labelling, OPAT, UTI, Infectious Diseases) (on Epic Epic).
  • Administrative lead for the Antimicrobial Stewardship programme.
  • Monitoring compliance with and booking of clinical staff mandatory training.
  • Protocol writing including interpretation of information and creating algorithms and flowcharts.
  • Preparation of literature including patient leaflets, posters and newsletters.
  • Preparation of training folders for medical students and F2 rotation.
  • Liaising with the Peninsula Medical School in relation to medical student placements.
  • Quality assurance through updating Standard Operating Procedures.
  • Communicate with patients and colleagues in a courteous, professional and timely manner.
  • Organise, participate and minute meetings, preparation and distribution of agendas and ensure all supporting paperwork for meetings is adequately prepared and available.
  • Download results from external reference laboratories and upload onto the hospital EPR (|Epic).
  • Design, issue and collate results of user survey.
  • Welcome and facilitate visitors to the department.
  • Provide other administrative assistance to medical staff and laboratory managers as required.
  • To anticipate and assess problems or issues, showing initiative and exercising independent judgement in resolving or actioning them.

In addition to having an excellent range of PA and Secretarial skills they will need to have a good level of general education and ideally sound knowledge of medical terminology and experience of the NHS. It is essential that applicants are able to demonstrate strong IT skills. This must include extensive knowledge of Microsoft Office including: Outlook, Word, Excel and PowerPoint. Experience of using Epic EPR and Medirota would be an advantage.

The successful applicant will be conscientious and self-motivated and is required to work flexibly and in an efficient and timely manner. They must have the ability to be able to use their own initiative and work independently, prioritising work to ensure that all duties are carried out to a high standard and deadlines are met.

This may be an interesting secondment opportunity.

Working Pattern: This post is available on a fixed-term basis for months, working hours per week Monday to Friday.
