Job description

Senior Finance and Administration Assistant

Work pattern is 37 hours per week term time, will consider part time hours / job share.

Merit is a Pupil Referral Unit within the City of Stoke-on-Trent. Our small school supports young people with a range of medical and mental health conditions which make attending mainstream school too difficult for them. We are seeking to appoint a highly motivated, adaptable and talented Senior Finance and Admin assistant to join our small and supportive team.

The successful candidate will have finance experience and a high standard of English and Maths. Being a team player is essential, as is a desire to support vulnerable young people in our calm and friendly school.

We are looking for a Senior Finance and Admin assistant who will:

  1. Under the direction of a member of the Senior Leadership Team, organise and deliver effective financial and administrative systems within the school.
  2. Deliver an efficient operation of the school’s accounting function according to agreed procedures.
  3. Under the direction of the School Business Manager, prepare annual estimates and regular reports upon income and expenditure, monitor accounts against budgets and report to SBM.
  4. Monitor all accounting procedures and identify any problems, including the ordering, processing and payment for all goods and services provided to the school; the operation and regular reconciliation of bank accounts; and preparation of invoices, collection of fees and other dues.
  5. Book attendance at training courses.

Support for Financial Administration

  1. Prepare and present financial reports according to agreed procedures under the direction of the School Business Manager.
  2. Support the School Business Manager in planning and preparing the school’s three-year budget planning process annually.
  3. Assist the School Business Manager to prepare the preliminary annual budget plans.
  4. Prepare annual estimates and regular reports upon income and expenditure, monitor accounts against budgets and report on the financial state of the school to the school governors.
  5. Undertake all the school's accounting systems.
  6. Order, process and pay for all goods and services.
  7. Operate and regularly reconcile bank accounts.
  8. Maintain the assets register.
  9. Prepare invoices.
  10. Collect fees and other dues.
  11. Manage school fund or similar budget.
  12. Prepare for school auditors as required.
  13. Monitor closely all financial records and tabulations.
  14. Liaise with Stoke City Council Payroll and Finance.
  15. Monitor all school trips and ensure appropriate documentation is completed and submitted.

Statistical Returns

  1. Produce and ensure the school census is completed and returned on time.
  2. Complete and submit complex forms, returns etc., including those to outside agencies.

Management Information System

  1. Assist in maintaining the SIMS system.
  2. Ensure student records are up to date.
  3. Co-ordinate the sending and receiving of new student records.
  4. Analyse and evaluate data/information and produce reports/information/data as required.

Support General Administration

  1. Undertake general clerical duties as and when necessary, e.g., reception duties.
  2. Organise meetings and take notes (when required).
  3. Assist the Business Manager with the smooth and efficient set up, administration and management of the examinations held within the school and all related systems.
  4. Assist in Post 16 administration, including maintaining Careers records.
  5. Assist in the preparation of celebration and certificate assemblies.

Support to School

  1. Promote and safeguard the welfare of children and young persons you are responsible for or come into contact with.
  2. Be aware of and comply with policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person.
  3. Be aware of, support and ensure equal opportunities for all. Contribute to the overall ethos of the school.
  4. Appreciate and support the role of other professionals.
  5. Attend and participate in relevant meetings as required. Participate in training and other learning activities and performance development as required.
  6. Assist with pupil needs as appropriate during the school day.
