JOB TITLE: Senior Executive Assistant (to CEO, Chairman & PLC Board)

REPORTING LINE: CEO

DEPARTMENT: Executive

CONTRACT: Full Time & Permanent

THE ROLE

We are seeking a Senior Executive Assistant who will provide efficient, dynamic and flexible administrative and organisational support to the Chief Executive Officer, Chairman and PLC board members. This role will also lead a team of two Executive Assistants and drive standards to ensure a high level of service and guest experience is always delivered.

The ideal candidate will have excellent organisational skills, flawless attention to detail and confidence working under pressure with the ability to meet tight deadlines. Given the nature of our business, we require executive assistants to be flexible and consistent whilst maintaining strict confidentiality.

KEY RESPONSIBILITIES

  • Manage professional and personal scheduling primarily for the Chief Executive Officer, along with travel and match attendance administration for the Chairman and PLC board members.
  • Manage the EA team to ensure an efficient service is delivered by communicating effectively, delegating and managing workloads.
  • Ensure that the EA team provides resilience and adequate cover as required across all the assigned EA business areas.
  • Deliver an exceptional guest experience to all visitors within your area and across the business as required.
  • Lead by example and drive standards within the EA team to ensure this is emulated within their respective business areas.
  • Maintain and refine internal processes that support the CEO and coordinate resources to ensure goals and objectives are met.
  • Take ownership of being the first point of contact for the CEO, Chairman and Board.
  • Take a proactive approach to coordinating complex scheduling and calendar management to ensure that Executive operations run efficiently.
  • Provide support and coordination for a range of meetings ensuring supporting materials are distributed on time, coordinate attendee invitations, organise room bookings and catering.
  • Collate board reports from the relevant departments ahead of PLC board meetings.
  • Attend meetings, take and efficiently distribute minutes as required.
  • Prepare presentations and reports as required.
  • Mailbox management including processing incoming and outgoing emails and prioritising items appropriately to ensure they are actioned efficiently.
  • Arrange and book all travel, accommodation and meals as required.
  • Manage the meeting room booking system for Argyle House on SharePoint.
  • Complete expense claims on Concur within business deadlines.
  • Proactively drive, create and maintain your own workflow to ensure that a best-in-class service is being provided to all stakeholders.
  • At all times maintain professionalism and strict confidentiality with all information that you become aware of as part of your role.

THE CANDIDATE

  • Minimum of five years previous experience being an EA for Executive/Director level roles.
  • Proven experience of working for numerous stakeholders.
  • Excellent organisational skills including prioritization of tasks and time management.
  • Previous line management experience is preferred.
  • Proven ability to delegate and manage team workloads effectively.
  • Strong administration skills, working proactively and efficiently to complete tasks.
  • Flawless attention to detail.
  • Confident and strong communication skills, both written and verbal.
  • High levels of confidentiality, integrity and discretion regarding Club and personal information.
  • Confident under pressure, with the ability to meet tight deadlines.
  • Flexible team player, willing to adapt to changes and challenges.
  • Ability to challenge positively as appropriate.
  • Positive and proactive attitude, contributing to a collaborative and dynamic work environment, bringing high energy and enthusiasm to the role, inspiring those around them and fostering a positive workplace culture.
  • Computer literate across all applications of Microsoft Office and Outlook.
