Senior Executive Assistant

Who you will be working for?

What would you be doing?

This is a critical role to the effective functioning of the Executive Office of our client. Its purpose is to provide proactive, high-quality support primarily to the ED and Deputy ED.

  • Proactive diary management for the ED and Deputy ED to ensure their time and capacity is used effectively in the management of our client and engagement with external stakeholders.
  • Production and review of documents, such as correspondence, presentations, and briefing notes, on behalf of the ED and Deputy ED, including necessary background research and stakeholder engagement or review.
  • Maintaining privacy, discretion, and order in core files (e.g., via SharePoint), action lists, and decision logs.
  • Coordination of internal communications on behalf of the ED, particularly relating to CoDir business and decisions, escalating issues of importance and facilitating the communication of senior decision-making in a timely way.
  • Senior internal and external stakeholders receive a responsive and helpful experience in approaching General Direction with requests for meetings and/or information.
  • Expenses are processed and meetings are arranged within agreed timescales.
About You
  • Extensive experience working in an EA, PA, or other office administrative roles in a pressurized environment requiring flexibility, tact, judgment, and discretion in handling internal and external contacts and information.
  • Experience of successfully and professionally managing senior managers’ schedules, facilitating their workload and diary, including researching and booking of international travel, visas, and accommodation.
  • The ability to effectively collaborate and communicate within a hybrid working environment utilizing Teams, SharePoint, One Drive, and Yammer. An aptitude for quickly learning new software and systems.
